We’re looking for a highly organized and detail-oriented Administrative Assistant to be the backbone of our operations. This isn’t just a support role; you’ll be instrumental in ensuring the smooth execution of our projects, from managing finances to coordinating complex real estate transactions. What you’ll be doing:
As our Administrative Assistant, you’ll wear many hats and play a critical role in our success:
Financial Management:
Process accounts payable and receivable, including managing invoices, payments, and deposits with precision.
Perform bank reconciliations and maintain accurate financial records.
Oversee payroll processing, including managing timesheets and PTO tracking.
Diligent tracking and categorization of all expenses related to property acquisition, renovation, and disposition.
Real Estate Transaction Coordination:
Manage all aspects of real estate transactions, from pre-acquisition to closing, including meticulous contract preparation, document management, and seamless communication with all parties involved (agents, lenders, title companies, etc.).
Renovation Project Support:
Assist the renovation team with crucial tasks like pulling permits, scheduling inspections, and ensuring all compliance requirements are met, keeping our projects on track.
Comprehensive Administrative Support:
Provide top-tier administrative support, including scheduling appointments, managing complex calendars, preparing compelling presentations, and maintaining a professional and efficient office environment.
Contribute to our growth by assisting with market research to identify trends and opportunities within our target markets.
What you’ll bring:
Experience: 3+ years of proven experience in bookkeeping, real estate administration, or a similar multifaceted role.
Real Estate & Financial Acumen: A solid understanding of real estate transactions and fundamental financial principles is essential.
Exceptional Organization: Superior organizational skills, attention to detail, and a knack for managing multiple priorities simultaneously.
Proactive & Independent: Ability to work effectively independently while also being a strong collaborative team player.
Communication: Excellent verbal and written communication skills with a professional and interpersonal approach.
