We are seeking an organized, personable, and detail-oriented individual to join our quality control testing lab as an Administrative Assistant/Account Manager. This dual role is the welcoming face and voice of our company, managing critical administrative and client communication tasks while providing essential support to our laboratory operations.

Key Responsibilities:

Client & Communication Management

  • Act as the primary point of contact for all incoming calls and general company email inquiries, providing polite and efficient service.
  • Manage communication with a portfolio of existing client accounts, ensuring their needs are met and building strong relationships.
  • Provide quotes to new leads and onboard them when quotes are approved.

Administrative & Sample Intake

  • Serve as the receptionist and office administrator for the lab.
  • Manage the end-to-end sample intake process, including fully heading the sample inventory system from first intake to sample archiving.
  • Receive, scan, and inspect incoming samples.
  • Accurately sticker and log samples into our sample inventory application.
  • Maintain organized digital and physical files for client and sample records.
  • Order office/lab supplies, keep and maintain an inventory system

Laboratory Support

  • Maintain a clean and organized work area
  • Perform occasional, light-duty support tasks within the lab (e.g., retrieving samples, organizing supplies), requiring adherence to standard lab safety protocols.

Qualifications:

  • Minimum 3+ years of professional experience in a dedicated customer service or client-facing role.
  • Preferred: Demonstrated experience working/courses in a laboratory setting (e.g., QC/QA lab, R&D facility, environmental lab).
  • Highly Preffeted: Background in science courses or degree in a STEM field relating to microbiology/biology/chemistry. Understanding basic concepts of microbiological and analytical properties.
  • Exceptional written and verbal communication skills, with a proven track record of professional phone and email etiquette.
  • High proficiency with Google Workspace and a strong ability to quickly learn new inventory apps or database software (LIMS).
  • Highly organized and meticulous attention to detail, especially when handling time-sensitive sample log-in and client data.

Compensation:

Starting base salary ranges from $42,000/year to $46,000/year.
