Role Purpose

The Administrative Assistant will provide high-level administrative, operational, and coordination support to the Agribusiness Manager across all sub-clusters, including the nursery operations, conservation zone, agricultural lands, tenant management, and the Farm Living Cooperative project.

This role requires a proactive, structured, and experienced professional capable of managing complex workflows, ensuring compliance, improving systems, and acting as a central link between internal teams, tenants, cooperative members, and external stakeholders.

The Administrative Executive will also play a key role in the development, implementation, and governance of the Farm Living Cooperative, including documentation, member onboarding, communication, and operational follow-up.

Key Responsibilities

A. Agribusiness Cluster Administration

  • Provide full administrative and operational support to the Agribusiness Manager.
  • Develop, streamline, and maintain administrative systems (SOPs, workflows, reporting tools).
  • Prepare correspondence, minutes, briefing notes, and management reports.
  • Assist in budgeting, procurement, and tracking of expenses for all agribusiness activities.
  • Coordinate logistics for field operations, meetings, audits, and site visits.

B. Farm Living Cooperative (Co-op) Support

  • Act as the administrative backbone of the cooperative structure being implemented.
  • Manage cooperative membership applications, onboarding, documentation, and member registry.
  • Prepare and update the Cooperative Constitution, rules, meeting minutes, and legal filings.
  • Coordinate communication with members: announcements, training schedules, events, reporting, and feedback collection.
  • Support financial tracking related to co-op operations (subscriptions, contributions, payments).
  • Assist in setting up revenue models, crop aggregation systems, and cooperative logistics.

C. Nursery & Conservation Zone Support

  • Manage documentation for seedling production, stock, plant sales, and distribution.
  • Maintain records of conservation activities, biodiversity management dashboards, and follow-up actions.
  • Coordinate with field teams to ensure timely reporting on nursery outputs and conservation KPIs.

D. Agricultural Land & Tenant Administration

  • Maintain a complete database of tenants, lease agreements, renewals, compliance, and follow-up payment.
  • Coordinate tenant communication, farm inspections, and reporting of issues.
  • Support the implementation of land policies, usage rules, and sustainability standards.
  • Track land allocation, crop plans, and tenant performance indicators.

E. Cross-Cluster Coordination & Reporting

  • Consolidate weekly, monthly, and quarterly reports across nursery, conservation, tenants, and farm projects.
  • Prepare dashboards, KPIs, performance summaries for senior management.
  • Facilitate communication between agribusiness and other Ferney departments (finance, sustainability, operations, estates, HR).

Competencies & Skills Required

A. Technical Skills

  • Strong administrative and organizational skills.
  • Experience in agricultural or environmental sectors (preferred but not mandatory).
  • Excellent Microsoft Office/Google Workspace skills (Excel, reporting dashboards).
  • Experience with cooperative management, community projects, or cluster coordination (advantage).
  • Understanding of budgeting, procurement, and basic financial processes.

Qualifications & Experience

  • Degree in Administration, Management, Agribusiness, Sustainability, or related field.
  • Minimum 10 years’ experience in administrative or operational coordination roles.
  • Experience in agriculture, conservation, cooperatives, or land management would be a strong advantage.
  • Experience handling multi-stakeholder projects is highly preferred.
