The Administrative Assistant provides essential administrative and operational support to the Head of Integrated Production, ensuring the smooth setup and daily management of the production house. This role involves coordinating HR, procurement, tracking budgets, preparing and managing documentation, and liaising with various departments to maintain efficiency.
Provide direct administrative and operational support to the Head of Integrated Production, assisting with day-to-day tasks and strategic initiatives.
Collaborate closely with the Head of Integrated Production to execute the production house setup plan and meet organizational goals.
Handle administrative tasks such as preparing reports, maintaining documentation, and scheduling meetings.
Work closely with the Head of Integrated Production to schedule and allocate resources efficiently.
Coordinate with stakeholders to facilitate the setup of the production house, including arranging meetings, recording minutes, equipment procurement, and space optimization.
Support in tracking and organizing equipment/supplies orders, ensuring timely delivery and proper installation.
Support the QHSE Specialist in implementing and monitoring safety protocols.
Maintain detailed records of workflows, processes, and operational milestones.
Ensure permits, licenses, and regulatory requirements remain up to date.
Monitor progress on pilot projects, document findings, and propose improvements.
Keep track of all spending and update the budget.
Collaborate with finance and procurement teams to ensure proper documentation for procurement and supplier payments.
Assist in managing HR matters, including staff scheduling and employee documentation.
Maintain an organized record of employee files, including all documentation and training certifications
Coordinate with HR to address staff queries and manage team communications.
Work closely with the Head of Integrated Production to schedule and allocate resources efficiently.
Assist in planning and executing on-site production activities, ensuring quality and adherence to project timelines.
Serve as a liaison between the production house and other departments such as IT, Finance, and Procurement, ensuring seamless communication.
Education/ Qualification
Associate Degree or related qualification in Business Administration, Operations Management, or a related field.
Work Experience
Minimum 3-5 years of experience in an administrative or operations role, preferably in a production or manufacturing environment.
Proven track record of supporting senior leaders and managing cross-functional tasks.
Experience in procurement, vendor management, HR process and financial documentation.
Previous experience coordinating with multiple stakeholders and departments. Knowledge
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and database systems.
Understanding of production workflows, inventory management, and procurement processes.
Familiarity with budget management and financial reporting.
Basic understanding of HR policies.
Skills
Exceptional organizational and time-management abilities to handle multiple tasks simultaneously. Excellent written and verbal communication skills for liaising with stakeholders, vendors, and team members.
Ability to work under pressure and meet tight deadlines.
