Glisson & Associates, a rapidly growing tax and bookkeeping practice, is seeking an experienced, self-directed full-time Office Administrator to join our team. The ideal candidate will manage various administrative tasks and provide backup support for our accounting staff. This position requires in-office work with no remote option. Candidates should be in or near the Lakewood area. We are located near the Belmar shopping center.

Responsibilities:

Answer phone calls and handle distressed clients professionally.
Manage email inbox (organization, sorting, filing)
Prepare and send documents for e-signature.
Take and summarize notes at staff meetings.
Sort and respond to email inquiries, follow up with clients.
Accommodate non-tech-savvy clients.
Greet clients and maintain a clean and welcoming front desk and conference room.
Schedule client appointments using Acuity and maintain staff calendars with Outlook.
Send appointment confirmation emails to clients and send TEAMS meeting invitations.
Print CPA’s meeting schedule and prepare client documents.
Keep the head CPA on schedule, communicate with clients regarding any delays.
Maintain strict confidentiality.
Scan, file, and manage client documents.
Maintain physical and digital files.
Track expenses, mileage, and time.
Oversee high volume tasks during tax season (January to April)
Other duties as needed to support staff workloads.
Order office supplies and cartridges
Run office errands: Post Office, FedEx, Wells Fargo, Chase
Sorting mail and mailing client tax documents.
Back up to Office Manager duties.
Light bookkeeping using QuickBooks Online.

Qualifications:

Ability to work in a deadline-driven environment.
Meticulous, especially with legal documents.
Manage multiple projects and tasks simultaneously.
Ability to think critically and problem solve.
Excellent interpersonal, organizational, and project management skills.
Ability to follow processes and use available tools.
Positive attitude, trainable, open to feedback.
Technologically savvy and confident in client follow-ups.
Confidentiality is a must.

Preferred Software Knowledge:

Windows OS, Microsoft Office (Outlook, Excel, Word)
Adobe Acrobat
Acuity Scheduling (we will also train)
QuickBooks Online and Desktop (we will also train)
ShareFile and Right Signature (we will also train)
Office Tools (we will also train)
Basic IT knowledge
Office phone system (transferring, forwarding, holding calls)
Knowledge of US tax documents

Additional Details:

Pay: $20.00 – $22.00 per hour
