BASE LOCATION: Philippines Remote
THE ROLE:
The Administration Assistant will be responsible for general administration duties while working on weekly timesheets and invoicing for selected workers. Reporting to and working closely with the General Manager you will be responsible for:
Administrative Duties:
Maintain and update maintenance records, logs, and reports.
Processes work orders and tracks maintenance requests.
Manage maintenance schedules and ensure timely completion of tasks.
Coordinate with vendors and suppliers for repairs and spare parts.
Prepare and manage maintenance-related documents, such as invoices, contracts, and purchase
orders.
Scheduling & Coordination:
Schedule routine inspections and preventive maintenance tasks.
Assign maintenance tasks to technicians or contractors.
Ensure maintenance activities comply with company policies and safety regulations.
Communicate with other departments to minimise disruptions due to maintenance work.
Inventory & Supplies Management:
Monitor and maintain stock levels of spare parts and maintenance supplies.
Order necessary parts and equipment as needed.
Keep track of maintenance-related expenses and budgets.
Compliance & Safety:
Ensure compliance with health and safety regulations.
Maintain records of equipment inspections and certifications.
Assist in conducting safety audits and implementing corrective actions.
Reporting & Communication:
Generate reports on maintenance costs, downtime, and performance metrics.
Keep management informed about maintenance issues and improvement recommendations.
Act as a liaison between maintenance teams, vendors, and company management.
SKILLS & EXPERIENCE
A minimum of 2 years of administration experience;
High level of written and verbal communication skills;
Demonstrated experience running meetings and minute-taking;
Able to focus, multitask and meet deadlines
Able to communicate with various levels of the business hierarchy;
Able to work autonomously
