Position Title: Administrative Assistant/Front Desk Support

Overtime Status: Full time (40 hours) Exempt

Department: Administration

Salary Range: $30,000 $40,000 – DOE

Reports To: Executive Director (ED)

Work Schedule: Monday – Friday, 9am – 5pm, ½ hour for lunch.

Start Date: 4/16/2025

Position Purpose: This position’s purpose is to support The Grief Center (TGC) in pursuit of achieving our mission, to provide a safe and supportive environment for those who grieve.

The Administrative Assistant/Front Desk Support (AA) has responsibility for ensuring that an office is organized and that daily tasks are completed efficiently. This position works with all departments. The AA is the first impression of The Grief Center and needs to be able to communicate the mission, values, and culture of the organization. The AA has a wide range of duties to complete, and they must be willing to take on extra administrative tasks, as and when required by the Administrative Manager (AM) and/or the ED.

Essential Duties and Responsibilities

· Greet and screen visitors with grace and courtesy.

· Direct Tenant clients to the Wellness Suite waiting area and/or announce to Tenant as per their preferred method.

· Notify appropriate TGC staff of visitors and either have them wait in the lobby or escort them to the appropriate staff member’s office.

· Answer and screen telephone calls, forwarding calls or taking messages as appropriate.

· Sign for deliveries and forward all materials delivered to the appropriate staff member in a timely manner.

· Maintain the [email protected] mailbox, answering emails when able or forwarding emails to the correct staff member for follow up.

· Under the direction of the AM, assist the TGC staff with copies, communication (phone calls, emails), workflow, data entry or other duties as needed,

· Maintain literature, brochures, and resources for distribution to visitors.

· Maintain a clean and organized reception area including wiping countertops, tables, door handles, cleaning glass & and door at least weekly or more often as needed.

· Check restrooms at least once per day to ensure all supplies (toilet paper, paper towels, soap, etc.) are adequate, and refill as needed. If the trashcan is running over, push the contents down using your foot, or empty trash.

· Support TGC events with registration, sign-in sheets, set-up/clean-up, as needed.

· Attend bi-weekly staff meetings.

· Be present and support all TGC special events or remain at the CFHH to answer phones.

· Alert the AM with maintenance and security related issues.

· Assist in Fire and Evacuation Drills, logging necessary information and noting any issues.

· Other duties as assigned by the AM and/or the ED.

Qualifications

Proficient in Microsoft Office and Google Suite
Strong organizational and clerical skills
Excellent customer service and phone etiquette
Experience with multi-line phone systems and front desk operations
Familiarity with office assistant practices
Bilingual abilities are a plus
Proven typing and data entry skills
Background in administrative assistant roles

Job Type: Full-time

Pay: $16.00 – $19.00 per hour

Expected hours: 40 per week
