We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong organizational skills and a professional demeanor, ensuring smooth daily operations within our office. This role is essential in supporting various administrative tasks, managing communications, and maintaining an efficient workflow.

Duties

Provide administrative support to ensure efficient operation of the office.
Assist with answering calls, directing inquiries, and taking messages with excellent phone etiquette.
Organize and maintain files, records, and documents for easy retrieval.
Assemble and scan tax returns and associated paperwork for clients.
Manage billing and accounts receivable in an accurate and timely manner.
Utilize Microsoft Office for document creation, scheduling, and collaboration with team members.
Assist in front desk operations by greeting visitors and managing appointments.
Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date.
Coordinate meetings and prepare necessary materials for presentations or discussions.
Handle correspondence and communication effectively to facilitate smooth interactions within the organization.

Requirements

Proven experience as an Administrative Assistant or in a similar role.
Previous experience working in an accounting firm is preferred.
Previous experience with accounts receivable/billing is preferred.
Strong time management skills with the ability to prioritize tasks effectively.
Excellent organizational skills with attention to detail.
Proficient in Microsoft Office applications (Word, Excel, Outlook, Teams).
Familiarity with phone systems and office equipment.
Basic computer literacy with the ability to learn new software quickly.
Ability to work independently as well as part of a team in a fast-paced environment.

Job Type: Full-time

Pay: $20.00 – $23.00 per hour

Expected hours: 40 – 50 per week
