Your impact
Jacobs is on the lookout for a detailed-oriented, highly motivated Administrative Assistant to become a key player on our dynamic project team in Orlando, Florida. In this role, you’ll handle a variety of tasks; interacting with our clients virtually and in-person, coordinating activities and meetings, and provide invaluable support to our staff and projects. We value personable, organized, and professional individuals who can maintain strict confidentiality. If you have exceptional written and verbal communication skills, stellar interpersonal abilities, experience with Microsoft Office Suite, project coordination expertise, and the knack for building effective working relationships across multiple teams and departments, we want you on our team!
This is a hybrid position with an expectation to be in the office 2 days per week.
You will also be responsible for the following
Provide professional and efficient administrative support to our program manager.
Assist with managing budgets, project schedules, and deliverables.
Make decisions within a well-defined scope of responsibilities, involving moderately complex office support functions.
Coordinate project support and certain regional activities.
Manage both computer and hard copy filing systems.
Schedule, coordinate, and maintain subcontractor relationships.
Perform document management support, including maintaining SharePoint and MS Teams sites, ensuring adherence to document management protocols, and assisting with file uploading and sharing.
Support all project staff with various administrative tasks, including
Provide support services for meetings, such as preparing agendas, meeting summaries, scheduling, setting up meeting rooms, coordinating presentation materials, and ordering meals as needed.
Prepare and edit reports, presentations, and compile data for analysis.
Handle confidential and sensitive information with discretion.
Establish and maintain systems related to filing, time reporting, and training hours.
Here’s what you’ll need
High school diploma or equivalent
3+ years of increasingly responsible administrative support experience
Proficient in the use common office software (including Microsoft Office) to accomplish administrative work
Proven written, typing, and verbal communication skills
Valid driver’s license with no major infractions
Ideally, You’ll Also Have
College education or degree
Experience working with a team in an engineering, construction or related organization
Proven self-starter, proactive, ability to plan, prioritize and organize workload
Demonstrated organizational skills and ability to pay close attention to details
