We are seeking an organized, professional, and personable individual to join our team as a Front Desk Coordinator. This position involves providing administrative support to the HR/Safety department while serving as the first point of contact for visitors and employees.
Key Responsibilities:
Greet visitors and employees, ensuring a welcoming and professional environment.
Manage incoming calls, emails, and correspondence, directing them appropriately.
Maintain reception area and all common areas in a clean and tidy manner at all times
Coordinates mail flow in and out of office, receives and distributes daily mail/deliveries
Maintains office supplies including copy equipment, FedEx and miscellaneous office equipment by ordering and tracking as needed.
Maintain human resources records by requesting, receiving, tracking, inputting, scanning and/or filing documents related to pre-hires, new hires, current employees, and terminations, while ensuring accuracy of documentation and data entry.
Assist with recruitment efforts as needed
Assists New Hire Onboarding.
Prepare and update documents, reports, and presentations for the HR/Safety team.
Coordinate office supplies and ensure the reception area is clean and organized.
Respond to general inquiries from employees and escalate issues as needed.
Assist with the scheduling and logistics of event planning
Qualifications:
High school diploma or equivalent.
Previous experience in a receptionist or administrative role, preferably in HR.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Friendly demeanor with strong interpersonal skills.
High level of confidentiality and attention to detail.
