Description

Jackson State University is seeking Administrative Assistant in the department of Career Services Center. The Administrative Assistant direct and coordinate the office in a manner that will optimize the center’s efficiency in obtaining its missions and goals resulting in excellent customer service.

Examples of Duties

Responsible for the day-to-day clerical operations of the office.
Assist all Career Services Centers visitors in a professional, timely, and friendly manner.
Coordinate office’s administrative activities and storing, retrieving, and integrating information for dissemination to staff, students, alumni, and recruiters. Information will be disseminated by phone, mail services, websites, and e-mails.
Work closely with the other office staff regarding on-campus interview schedules and employer needs.
Oversee the posting on campus to the college’s students arid alumni of part-time and full-time positions.
Ensure incoming and outgoing mail is handled properly and that urgent items are addressed promptly.
Handle and keep records of all inventory items.
Prepare purchase orders and requisitions as instructed by the center’s director.
Attend scheduled staff meetings, take notes, transcribe/type notes, and disseminate to office staff.
Order office supplies as needed and perform frequent checks to ensure items are always stocked, and oversee/track purchases and deliveries. • Retrieve and copy interview schedules for recruiter use.
Operate a personal computer to input data using SPSS.
Handle staff travel arrangements.
Orientate, train and supervise college work-study students to assist with the day to day operations of the center; including but not limited to greeting visitors, answering the phones in a professional manner, assisting students in the computer laboratory, and assist with scheduled annual events sponsored by the center.
Set up student work schedules, delegate work assignments, maintain time sheets, and prepare payroll information/data per the Work-Study Coordinator’s instructions.
Perform other duties as assigned by the director.

Typical Qualifications

High School Degree required, Bachelors Degree preferred.
Two or more years of experience In working and in an office setting and managing an office.
Highly motivated, high energy, team oriented individual.
Preferred computer skills include understanding and appreciation of growing role technology plays in delivery of career services.
