Job Description

This is an onsite, full-time Administrative Assistant position located in Lebanon, NJ, Monday – Friday, from 8:30 a.m. to 5:00 p.m.

We are seeking a friendly, organized, and detail-oriented Administrative Assistant/Operations Support Administrator to serve as the first point of contact for clients, guests, and employees. This individual will primarily be responsible for greeting and signing in visitors, creating security badges, managing breakroom supplies, purchasing materials, and running reports across various systems. The ideal candidate will be customer-focused, proactive in managing tasks, and able to handle a variety of administrative duties with professionalism. This role has potential for growth opportunities, as applicable.

Key Responsibilities:

Greeting and Signing in Visitors:
Welcome clients, guests, and employees with a professional and friendly demeanor.
Sign-in all visitors, ensuring they have proper identification, necessary credentials (badge), and are directed to the correct department or meeting space.
Manage the visitor log and ensure compliance with security protocols.
Breakroom Management:
Monitor and maintain the breakroom supplies (coffee, snacks, utensils, etc.).
Regularly assess inventory levels and replenish supplies as needed.
Coordinate the ordering of supplies to ensure the breakroom meets standard stock levels.
Purchasing Materials:
Place orders for office supplies, equipment, and other necessary materials.
Track inventory and keep records of all purchases made.
Ensure timely delivery of orders and maintain vendor relationships.
Running Reports:
Generate and distribute reports from various internal systems (e.g., attendance, supplies, etc.).
Ensure accuracy and timeliness of all reports.
Assist with data entry and provide support for departmental reporting needs.
Administrative Support:
Answer phone calls, route inquiries to appropriate people/ departments, and log messages as necessary.
Handle incoming and outgoing mail and packages.
Assist with other administrative tasks as required to support operations.

Qualifications:

High school diploma or equivalent (associate or bachelor’s degree preferred).
Previous experience as a receptionist, administrative, or customer service role is a plus.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office 365 (Word, Excel, Outlook).
Ability to multi-task and manage time efficiently.
Strong problem-solving abilities and a proactive approach to tasks.

Physical Requirements:

Ability to stand or sit for extended periods of time.
Ability to lift up to 20 pounds (for breakroom supply management).

Work Environment:

Fast-paced office environment.
Interaction with various departments and external visitors.

WORKING ENVIRONMENT:

Work is performed in a lab and office setting. Work is subject to chemicals, fumes, gasses, noxious odors, and related items in a lab setting.
