Position Summary

Reporting to the Director, Corporate Infrastructure, the successful applicant will provide administrative and operational support to the team, including program coordination and facilitating communication with internal and external stakeholders.

Responsibilities include intake, prioritization, and delegation of work requests through the Computerized Maintenance Management System (CMMS); advising hospital staff on departmental processes; liaising with external contractors and vendors (including visitor badges/keys); managing the hospital ID badge system and parking access; and executing departmental correspondence (phone, email, memos).

The successful candidate will work independently, exercising sound judgment and strong critical thinking skills.

Primary Responsibilities

  • Provide administrative and operational support to the Director and Corporate Infrastructure team, including calendars, meetings, payroll, reporting, and departmental documentation.
  • Coordinate communications, including drafting memos, maintaining signage/directories, and supporting recruitment and onboarding.
  • Support logistics and minor project coordination (e.g., moves, furniture inventory, and committee support).
  • Respond to internal inquiries and liaise with external vendors regarding quotes, purchase orders, and scheduling.
  • Maintain administrative functions including meeting coordination and minutes, project files, training scheduling, payroll/timecards, credit card reconciliation, and tracking regulatory requirements.
  • Administer the CMMS, including intake, prioritization, and delegation of work requests, equipment and inventory tracking, preventative maintenance setup, reporting, user support, and system improvements.
  • Provide training and support to staff on CMMS processes and troubleshoot system issues.
  • Manage access control systems, including ID badges, parking access, keys, and security permissions; perform audits and generate reports as required.

Mandatory Qualifications

  • Two-year college diploma in a related field
  • Minimum two (2) years of experience providing administrative support to a leadership position
  • Demonstrated excellent communication, interpersonal, and time management skills
  • Strong customer service skills
  • Proven ability to work both independently and collaboratively within a multidisciplinary team
  • Demonstrated proficiency in Microsoft Office applications
  • Strong problem-solving, decision-making, and critical thinking skills
  • Demonstrated commitment to professional growth and development
  • Ability to be flexible with working hours as required

Preferred Qualifications

  • Hospital experience considered an asset
  • Project planning and coordination experience considered an asset
