SUMMARY:
This position is primarily responsible for handling administrative duties and providing support to managers by communicating with drivers and customers, reviewing driver logs and pay, handling all administrative work, including data entry, monitoring, and updating data in SOS software.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Core duties and responsibilities include the following. Other duties may be assigned:
Handling incoming and outgoing phone and electronic communications
Exhibits a commitment to excellence and to superior customer service both external and internal
Cultivates positive and enduring relationships with customers, vendors, and drivers.
Communicating with customers about freight details
Preparing dispatch documents
Reviewing drivers logs, including dispatched calls and arrival times
Monitoring truck repairs and maintenance schedules.
Ensuring drivers are paid in a timely and accurate manner while adhering to STX procedures
Verify driver payments for accuracy
Set up driver’s payments
Entering data for all invoices into SOS
Verify accuracy for each invoice
Verify payment of invoices
Monitor invoices to ensure all invoices are paid within 30 days unless instructed by management
Communicating with customers to request payment
Collecting payments from customers and accurately recording them in the system
Updating customer accounts based on payment information
Managing accounts payable using SOS software
Ensuring drivers are paid in a timely and accurate manner while adhering to STX procedures
Processing due invoices for payments
Handling accounts payable for separate entities and vendors
Update all legacy data in SOS software
Backup for the following:
Enter loads in the system
Find additional business in the load boards if needed
Coordination between load assignment and drivers via phone call or text
Handles special assignments and projects as required
EDUCATION AND/OR EXPERIENCE:
High school diploma or general education degree (GED) preferred.
At least five years of related experience and/or training
COMPUTER SKILLS:
To perform this job successfully, an individual should have knowledge of:
Spreadsheet software (Excel)
Word processing software (Word)
Electronic mail software (Outlook).
OTHER SKILLS AND ABILITIES:
Knowledge of trucking regulations and laws
Ability to handle issues with customers and drivers
Technology skills, particularly in transportation management software
Strong organizational and time management skills
Excellent communication skills to clearly relay information to all involved parties
Ability to stay calm in fast-paced situations
