Description
The role of the Administrative Assistant is to provide assistance and support to the Department Manager.
Responsible for routine and advanced correspondence including letters, memoranda, and reports. Familiar with a variety of the field’s concepts, practices, and procedures. Relies on experience and judgment to plan and accomplish goals with ability to work independently. At times may be asked to be responsible for confidential material.
Your Primary Responsibilities will include
Department Management:
Maintain a professional and organized work environment (including cleanliness, supplies, and equipment)
Manage project budget and expenses. Work with project accountant to review and approve monthly invoices to FDOT and Local Agencies
Communicate and coordinate with property manager for building maintenance and repairs, as applicable
Manage department supplies equipment, ensuring timely replenishment
Setup of storage units for nuclear gauges for project as needed
Track project equipment and work with inspectors to ensure equipment is calibrated before expiration
Coordinate with IS team and troubleshoot basic technical issues
Manage and maintain project filing systems (physical and digital)
Administrative Support:
Prepare, manage, and coordinate travel arrangements and expense reports for staff
Manage staff and conference room schedules and calendars, including scheduling meetings and appointments
Provide administrative support to professional staff, including document creation, editing, and filing
Serve as an extension of corporate business services (Marketing, Human Resources, Information Systems, Finance & Accounting) to support needs of the department
Assist with preparation of proposals
New Project setup
Fleet Management : updating vehicle logs & assisting with repair or fuel card issues,
Schedule/coordinate Training
Assist with Audit Package preparation
What you’ll need
Efficiency and Productivity:

Timely completion of administrative tasks with minimal errors
Adherence to budget for office expenses
Communication and Collaboration:
Strong working relationships with staff at the regional office and headquarters
Effective communication with headquarters on administrative matters
Positive client and staff feedback on service experience
Problem-Solving and Initiative:
Ability to anticipate and proactively address office needs
Effectively troubleshoot and resolve administrative issues
Develop and implement improvements to office processes and procedures
Requirements for Office Manager position:
Excellent interpersonal and written & oral communication skills
Strong computer skills with experience in Word, Excel, Outlook
Knowledge of basic accounting practices
Knowledge of internet research
Ability to handle a wide range of tasks and responsibilities independently
Proactive approach to identifying and resolving issues within the regional office
Valid driver’s license with approved/acceptable driving history required
