POSITION SUMMARY:
The Marketing Administrative Assistant is responsible for providing support to the Marketing department. This position is expected to work both independently and collaboratively to provide a wide variety of administrative support, research and insights, all of which contribute to the efficient and professional operation of the marketing department.

Essential Job Duties and Responsibilities:
Complete general administrative work such as scheduling, expense management and approvals, travel coordination, etc.
Internal communication of marketing activities, including weekly communication to stores.
Enter, track and report various marketing data points as requested.
Proactively screen and respond to inquiries via email, phone and mail.
Undertake daily administrative tasks to ensure the functionality and coordination of department activities.
Process invoices and track marketing expenses against budget.
Create and coordinate marketing presentations / slide decks.
Support and organize various marketing projects.
Conduct market research, analyzing reports, questionnaires, and other data.
Produce multiple monthly reports.
Organize and schedule events and meetings, including contacting participants, booking rooms, recording and distributing minutes, agendas and other relevant information and supplies.
Open, sorts, and distributes all incoming and outgoing mail and other correspondence.
Assist department team members in meeting deadlines for various tasks and projects as required.
Provide assistance with event planning and coordination.
Coordinate all sweepstakes records and contact participants to provide information to them based on the official rules.
Maintain a comprehensive filing system including archival and storage inventories for the Department in accordance with records of all contests.
Prepare correspondence that may be of a confidential nature, as directed.
Completes special projects and other duties as required.
Education, Experience, Knowledge and Skills:
High School Diploma; AA Degree in Office Administration, Business Administration, or a related field, a plus.
Previous experience in an administrative, accounting, or marketing role preferred.
Bilingual in ability to read, write and speak English and Spanish.
Proficiency in Microsoft Office Word, Excel, PowerPoint and Outlook.
Previous experience in providing service in an office setting.
Excellent interpersonal, verbal, written and oral communication skills.
Strong organizational and problem-solving skills.
High customer service abilities.
Flexible; able to multi-task, adapt to changing priorities and prioritize projects.

The pay scale above is the salary or hourly wage range that the Company reasonably expects to pay for this position.

Within this range, individual pay is determined by location and other factors including, but not limited to, specific skills, relevant work experience, and relevant education and/or training. This information is provided to applicants in accordance with California Labor Code § 432.3 and state and local minimum wage standards.
