The Office of the Public Defender is seeking detail-oriented applicants with secretarial experience, good organizational and problem solving skills highly proficient in Microsoft Word, Excel and Outlook to fill a full-time Administrative Aide position in our Glen Burnie District Court Office. The Administrative Aide will be responsible for typing legal documents, data entry of case information, scheduling appointments and maintaining calendars for assigned attorneys. This position involves significant client contact to provide and gather information over the phone.

Main Purpose of Job
An Administrative Aide is work providing secretarial support to an official, administrator or administrative staff. Employees in this classification type on keyboards of personal computers, using word processing software. Employees in these classifications may supervise lower-level secretarial or clerical employees.
Administrative Aide works closely with core staff, attorney staff and the Office Manager to ensure the everyday and long term functioning of the district court office both from a legal and administrative perspective.
In conjunction with Office Clerk, Secretaries and other core staff, the Administrative Aide will be responsible for providing secretarial support for staff attorneys, ensuring the office remains open and staffed during business hours from 8:00 a.m. until 5:00 p.m. Pull district court transfer cases forwarded to the circuit court, organize, pull and distribute district court files by docket to the assigned attorneys, download & upload electronic discovery, data entry in case management system (eDefender), file as needed in MDEC, research incoming client mail, answer overflow calls, ensure voicemails are retrieved and calls are returned, maintain office copiers, printers, and oversee mail stamped and mailed daily through Stamps.com. Maintain office supplies and notify the Office Manager of any supply needs for order. This position involves significant client contact to provide and gather information over the phone and in person.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Four years performing secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preferred Qualifications:
Experience performing data entry, using Microsoft Office Suite software applications. Familiar with working in the legal or court system, working with arrested persons, attorneys and law enforcement of courtroom personnel.

SPECIAL REQUIREMENTS
Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
SELECTION PROCESS
Applicants who meet the minimum qualifications will be admitted to the examination for this classification, Successful candidates will be ranked as BEST QUALIFIED, BETTER QUALIFIED, OR QUALIFIED and placed on the employment (eligible) list for at least one year.
