Description

We are seeking an entry-level Administrative Assistant to support the Rebuild Florida Housing Repair and Replacement Program (HRRP), which assists homeowners in rebuilding or repairing homes damaged by Hurricane Ian.

Primary Responsibilities:

Welcome and assist applicants in the office
Answer phones and manage incoming communications
Schedule appointments and manage office calendar
Prepare, format, proofread, and print documents, reports, and presentations
Maintain electronic and physical filing systems
Enter and update data accurately in internal systems
Monitor and restock office supplies and maintain workspaces
Coordinate meetings, webinars, and video conferences via Outlook and Zoom
Prepare outgoing mail and create shipping labels
Perform other administrative support tasks as needed

Minimum Requirements:

High School Diploma or equivalent
Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
Strong attention to detail and proofreading skills
Professional phone and email communication skills
Comfortable working with diverse teams and individuals
Ability to stay organized while handling multiple tasks
Ability to troubleshoot and solve problems
Willingness to occasionally work overtime
Ability to lift up to 20 pounds and sit at a desk for extended periods
Must be able to operate a motor vehicle safely
Ability to travel up to 10%
