The State of New Hampshire, Department of Revenue, Administration Division, has a full-time vacancy for an Administrative Assistant located in the Commissioner’s Office.

SCOPE OF WORK: To develop, monitor, and perform administrative and office management functions for the Commissioner’s office at the Department of Revenue Administration.

ACCOUNTABILITIES:

Coordinates requests from LBA for fiscal notes on proposed legislation, collects responses from directors and tracks progress of fiscal notes to report disposition of bills to the department. Reviews all proposed legislation selecting those bills which may impact the department; supervises the tracking of legislative action and disposition of those bills. Maintains files for tracking all department legislative activity.

Performs administrative support duties for the Commissioner’s office and Administration Unit to enhance the effective and efficient operation of the Department and the Administration Division. Maintains files for historical department data and current correspondence and issues for the Commissioner’s office.

Tracks taxpayer correspondence and information requests whether in writing, over the internet, or on the phone to ensure prompt response. Reads, reviews, and assigns all correspondence for the Commissioner and Assistant Commissioner for action and/or information.

Schedules and plans meetings, including the rental/use of the department training room to outside agencies and internal department conference rooms for meetings.

Compiles and prepares the department’s annual report in compliance with RSA 20:7. Oversees distribution of all departmental statements, news releases, TIRs, Declaratory Rulings and General Information Sheet. Compiles and manages the Financial Interest Filings (RSA Chapter 15-A) due annually to the Secretary of State by the third Friday in January each year.

Monitors the department’s external and internal websites to ensure up-to-date materials are posted and available and performs updates to the department’s internet website as directed.

Manages Dept. of Administrative Services’ staff, as appropriate, on building issues affecting the department’s employees.

Maintains brass keys and electronic badge access and related logs for all employees.

Uphold the Department’s core values of respect and teamwork and demonstrates behavior consistent with the Department’s Code of Respect in the Workplace. Demonstrates compliance with Dept. policies and procedures.

Maintains strict adherence to the departmental laws and regulations pertaining to confidentiality of all tax information obtained from records, files, tax returns, and departmental investigations. Instructs division personnel in the confidentiality requirements of the various tax laws administered by the department.

MINIMUM QUALIFICATIONS:

EDUCATION: Associate’s degree from a recognized college or technical institute with a major study in accounting, business administration or public administration. Each additional year of approved formal education may be substituted for one year of required work experience.

EXPERIENCE: Five years’ experience in varied office management or staff work including experience in personnel or fiscal management. Each additional year of approved work experience may be substituted for one year of required formal education.

RECOMMENDED WORK TRAITS: Knowledge of the principles and practices of public administration. Knowledge of modern office management methods. Knowledge of the principles and practices of governmental accounting statistics and preferably personnel administration. Ability to plan, organize and direct the work of others. Ability to gather, assemble, correlate and analyze facts and devise solutions to administrative problems. Ability to develop, install and evaluate administrative policies and procedures. Ability to express ideas clearly and concisely orally and in writing. Ability to establish and maintain effective working relationships with other administrative officials and the general public. Must be willing to maintain appearance appropriate to assigned duties and responsibilities as determined by the agency appointing authority.

SPECIAL QUALIFICATIONS: Must possess ability to receive distinguished visitors in a professional manner. Must possess excellent verbal and written communication skills.
