We're looking for an Administrative Assistant (E-commerce & Business Support) to become a trusted partner to an entrepreneur managing multiple ventures, including a fast-growing pet health e-commerce brand, legal advisory activities, and investment-related projects.

This is more than a traditional administrative role. You'll have the opportunity to work closely with leadership, contribute ideas, support business operations, and gain exposure to entrepreneurship, e-commerce, and strategic decision-making.

You'll support a rapidly growing pet health brand focused on improving dog oral health, currently expanding across:

✅ Amazon

✅ Shopify

✅ Social Media Platforms

✅ TikTok Shop

✅ Walmart

✅ Chewy

✅ Future retail distribution channels

🎯 Key Responsibilities

📅 Administrative & Executive Support

  • Manage calendars, meetings, and scheduling
  • Prepare presentations, reports, and spreadsheets
  • Organize files, documentation, and business records
  • Track deadlines, priorities, and ongoing projects
  • Conduct research and support special initiatives

⚙️ Operations & Coordination

  • Serve as the main point of contact for inbound communications
  • Coordinate with vendors, customers, partners, and stakeholders
  • Follow up on action items to ensure execution
  • Support process improvements and operational efficiency

💼 Billing & Business Support

  • Prepare client statements and engagement letters
  • Create invoices and track payments
  • Maintain accurate business and financial records
  • Support legal and advisory-related documentation

🛒 E-commerce Support

  • Assist with Shopify and Amazon Seller Central management
  • Update product listings and inventory information
  • Monitor customer inquiries and order issues
  • Support expansion into additional sales channels
  • Generate reports to assist business decision-making

🧠 What We're Looking For

✅ 2+ years of experience in Administrative Assistant, Executive Assistant, Operations, or similar roles

✅ Experience with Shopify and/or Amazon Seller Central

✅ Strong proficiency in:

  • Microsoft Excel
  • PowerPoint
  • Google Workspace

✅ Excellent organizational and multitasking skills

✅ Strong communication skills in English-speaking work environments

✅ Ability to work independently in a remote setting

✅ Proactive, resourceful, and solutions-oriented mindset

⭐ Nice to Have

  • Experience with TikTok Shop, Meta Ads, or social media support
  • Familiarity with QuickBooks or invoicing tools
  • Experience with CRM or project management systems
  • Background in Business, Economics, Administration, or related fields
