We are seeking a dedicated and organized Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Responsibilities
Greet and welcome guests as they arrive, ensuring a positive first impression.
Manage incoming calls using phone systems, directing inquiries to the appropriate personnel.
Handle the first stage of the client intake process for all new clients.
Schedule appointments and maintain calendars for staff members and attorneys.
Perform administrative tasks including data entry, filing, and managing office supplies.
Utilize legal software for record keeping.
Proofread documents for accuracy before distribution or filing.
Maintain an organized front desk area that reflects professionalism and efficiency.
Prepare conference room for meetings.
Experience
Previous experience as a Front Desk Receptionist or in a similar administrative role is preferred.
Familiarity with legal receptionist duties is a plus.
Proficiency in using computer systems for scheduling and data management is essential.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent customer service skills with a friendly demeanor when interacting with clients.
Experience with legal software is a plus.
