Brookwood Management Partners, LLC, an affiliate of Brookwood Financial Partners, LLC, is seeking a Property Administrative Assistant to assist a Commercial Property Manager with the day-to-day operations of a portfolio of office properties located in Massachusetts, Maine, and Rhode Island. Job Summary:
The Property Administrative Assistant assists the Property Manager with day-to-day management of the assigned property/properties.
Duties/Responsibilities:
Assist the Property Manager with day-to-day property operations including staff and vendor coordination;
Administration of tenant invoicing and rent collection procedures;
Review and process vendor invoices for payment;
Manage and process monthly sub meter bill backs/invoices, afterhours HVAC bill backs/invoices;
Assist with contract administration;
Maintain certificate of insurance for all tenants and vendors;
Utilize a tenant request and preventative maintenance work order system to oversee day-to-day property operations;
Assist the Property Manager with reviewing, analyzing, and reporting financials and the operational performance of the properties and participate in meetings with senior management regarding the same.
Required Skills/Abilities:
Ability to present information in a clear and concise manner, both written and verbally.
Good listening, communication and problem-solving skills.
Strong organizational skills, an ability to pay close attention to detail.
Excellent customer service skills.
Valid driver’s license.
High proficiency in MS Word and Excel.
Ability to use computer including email and ability to learn property management software.
Yardi, Payscan, MRI Angus, and Kardin knowledge a plus.
Education and Experience:
Associate’s degree required; and/or two years of relevant experience.
Bachelor’s degree preferred; concentration in related field preferred.
At least two years of experience in the property management field, accounting or administrative experience a plus.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Traveling to and walking the property/properties.
