Executive Assistant Project Manager

We have an immediate opportunity for Project Manager/ Executive Assistant to support the team for long term fulltime contract. The ideal candidate will provide comprehensive administrative support while managing various projects to ensure the smooth operation of the executive’s office.

Primary Expectations and Day-to-Day Tasks:
Administrative Support:
Manage executive’s calendar, schedule appointments, and ensure timely attendance.
Coordinate with critical individuals to ensure meeting attendance and acceptance.
Assist in managing team processes, including vacation requests and approvals.
Perform clerical duties such as filing, typing, shipping, and copying documents.
Organize files and maintain contact database effectively.
Prepare all materials for executive meetings and presentations in advance.
Take meeting notes, action items, and create agendas as needed.
Proficient in MS Office (Word, PowerPoint, Excel) and Outlook.
Travel and Expenses:
Experience using Concur for managing expenses.
Arrange complex travel and accommodations, compile documents for travel-related meetings.
Financial Management:
Manage financial processes for Franchise Management (Strategy & Creative) including PO requests, invoice submissions, coding, and problem-solving.
Communicate effectively with financial departments within the organization.
Team Support:
Act as a direct liaison with vendors, customers, and partners.
Demonstrate strong soft skills: understanding audience, maintaining professionalism, and problem-solving.
Qualities and Skills:
Ability to handle confidential and sensitive issues with discretion.
Proactive in anticipating needs and summarizing them into actionable items.
Strong time management skills and ability to prioritize high-volume workload.
Demonstrate good judgment and present solutions rather than problems.
Team player who works well with others and delegates effectively.
Ability to remain calm under pressure and manage stress effectively.
Empowered to make decisions without needing constant direction.
