Job Summary:

The Program Administrative Coordinator is responsible for providing administrative support and performing general office duties for the Vice President of Programs. Maintains the overall calendar of events for the Programs and assists in planning and coordinating events as needed. Oversees and executes program evaluations and data collection throughout all areas of the Programs’ department. Serve as a liaison between Vice President of Program, Star of Hope Staff, and outside agencies.

Provide administrative support for the Vice President of Programs to include, manage incoming calls, correspondences, filing, running reports, scheduling appointments, manage calendars and keeping meeting minutes. Assist with the planning and implementation of all scheduled and special events including tours. Order Program and office supplies as needed.
Oversees and executes program evaluations, satisfaction surveys, analysis and various reports on the status of all areas of programming monthly, quarterly, and yearly. Coordinates and implements CQI reports and tasks for implementation to the Program Directors quarterly.
Review and audit credit card purchases and case files, track receipts in on-line system and track budget expenses according to Finance department policies and deadlines.
Serve as liaison between Vice President of Programs, SOH staff and outside agencies.
Prepare weekly, monthly, quarterly, and annual reports to comply with management and funding agency requests.
Assist with volunteer contacts and activities and, provide oversight and instruction of volunteers as needed.
Plan and implement special projects as directed by the Vice President of Programs.

Other Job Responsibilities:

Participate in Ministry and prayer activities, as appropriate.
Other duties as assigned.

Qualifications:

Education, Skills & Experience: Requires a Bachelor’s degree in business, social work, or related field from an accredited college plus 5 years of related work experience, or an equivalent combination of education and experience working with a member of the leadership team. Master’s degree in Social Work preferred. Experience conducting analysis, producing reports, and completing program evaluations preferred. Strong computer skills with fluency in Microsoft Word, Excel, and Outlook, and able to type 50 WPM. Valid Texas Driver’s License with acceptable driving record and current liability insurance.

Attention to Detail with strong communication skills, including formal letter writing. Must be able to clearly communicate information about Star of Hope programs, policies, and procedures to donors, volunteers, potential and current clients and residents, client’s families. Good judgement in dealing with confidential client and resident issues matters. Professional appearance and behavior. Ability to problem-solve, work well without supervision, and multi-task.

Be able to work respectfully, professionally and in a Christ-like manner with everyone, able to maintain required client/staff boundaries and possess a willingness to serve the Lord in a ministry that deals with homeless men, women, and children.

Equipment Used: General Office Supplies (Calculator, Telephone, Stapler, etc.), Computer Equipment (Monitor, Keyboard, etc.), and Copier/Fax/Printer, Cleaning Supplies, Software: Microsoft Word, Excel, PowerPoint, Outlook, Access, and Sphere (Inventory supply).

Work Environment: Normal business hours, office environment, occasional weekend, or evening events. Will occasionally be required to meet in other program facilities. The work schedule may be subject to change to meet the business needs of the mission. Exposure to infectious diseases, poor hygiene, drug usage, verbal and physical abuse and other emergency situations relative to the homeless population is normal. Business casual dress in accordance with the Star of Hope dress code.

Relations with Others: Constant face to face discussion with immediate peers, immediate manager, and use of electronic mail. Occasional contact with managers in other departments, clients, volunteers, other agencies, and donors. Occasional public speaking and written letters and memos. Constant telephone conversation.

Physical Requirements: Sedentary work with lifting to 10 pounds. Occasional reaching, standing, walking, pushing, pulling, stooping, crouching lifting, handling, and driving. Constant use of fingers, talking, hearing, repetitive motions, color, and close vision at 20 inches or less. Frequent use of distance vision of 20 feet or more, field of vision, depth perception and night vision.
