SUMMARY

The Administrative Services Coordinator will offer administrative support primarily to the General Manager. Support will also be provided to the Chief Executive Officer, the Human Resources department, as well as other departments as may be assigned.

JOB RESPONSIBILITIES

Essential
Provides high-level administrative support and assistance to the General Manager (approximately 70% of the time), to the Chief Executive Officer (approximately 20% of the time) and HR/other assigned leadership staff (approximately 10% of the time).
Administrative support includes, but is not limited to, general office management activities such as maintaining the executive’s calendar, scheduling appointments, and coordinating meeting schedules; drafting and/or reviewing communications; creating reports as needed; and performing other administrative and clerical tasks.
Arranges travel and accommodations for executives.
Schedules and attends meetings on behalf of executives as requested, taking notes and recording minutes as appropriate.
Collects and distributes mail. May review content to appropriately distribute to staff.
Collaborates with the Business Development department and other departments to arrange client or other visits, in an organized manner, ensuring appropriate staff is notified, meeting rooms are reserved, clean and ready, dietary requests are addressed as needed and clean-up after visits/meetings.
Assists executives with data set-up and managing the monitoring of company-wide goals and objectives, as well as key performance indicators (KPIs) and other action items.
Assists with coordination of Town Hall and other site/employee events as needed.
Performs office tasks including maintaining records, ordering supplies, and performing basic recordkeeping.

Supplemental Responsibilities

Performs other related duties as assigned.

JOB REQUIREMENTS

Education and Experience

High school diploma required, bachelor’s degree in business administration or related field

preferred.

At least six years of related administrative services experience required.
Experience in CDMO setting preferred.
Advanced proficiency with Microsoft Office Suite (Word, Excel, Power Point, Outlook, Share point, etc.) software required.

Knowledge, skills and abilities

Demonstrates the appropriate approach when relaying assignments or requesting assistance from support departments.
Excellent verbal and written communication skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and at times stressful environment.
Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Capable of quickly learning and adapting to administrative computer technology.
