Position Summary

Home Care Solutions is seeking a highly organized and proactive Executive Assistant to support the President. This role is critical to ensuring smooth operations at the executive level, providing high-level administrative support, managing schedules, coordinating communications, and serving as a reliable point of contact within the organization. The ideal candidate is discreet, detail-oriented, and capable of juggling multiple priorities in a fast-paced healthcare environment.

Executive Support

Manage calendars, appointments, and meetings for the President, VP, and HR Director.
Coordinate logistics for internal and external meetings, events, and presentations.
Prepare agendas, take detailed minutes, and track follow-up items.
Draft, proofread, and format internal and external communications.
Handle confidential and time-sensitive information with professionalism.

Administrative Coordination

Organize travel arrangements, reimbursements, and expense reports.
Maintain organized electronic and physical filing systems.
Screen calls, emails, and requests, ensuring timely and appropriate responses.
Serve as liaison between the executive team and staff, clients, or partners.
Assist with special projects or initiatives led by the executive office or HR.

HR and Internal Communication Support

Support the coordination of employee meetings, trainings, or town halls.
Help with onboarding logistics for senior-level hires.
Assist in the preparation of HR reports, memos, or internal announcements when needed.

Qualifications

Required:

Associate or bachelor’s degree in Office Administration, Business, or related field.
Minimum 3 years of experience in executive-level administrative support.
Exceptional written and verbal communication skills in both English and Spanish.
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
High level of discretion and professionalism with confidential matters.
Must be available to travel island-wide as needed

Preferred:

Experience in a healthcare organization.
Familiarity with project coordination or event planning.
Strong interpersonal skills and the ability to work with diverse teams
