Job Overview
Busy law firm seeks a qualified applicant to fill the role of front desk intake coordinator. The intake coordinator would be responsible for first impressions and client management by answering all phone calls throughout the day, managing attorney and client scheduling and handling a variety of administrative responsibilities. Hours would be Monday though Friday from 9:00 am to 4:30 pm. Pay commensurate with experience. Customer service experience preferred.
Duties
Manage the intake process for new clients, including collecting personal and legal information.
Initial Client Contact: Responding promptly and professionally to inquiries through phone, email, and online channels.
Information Gathering: Conducting detailed interviews with potential clients to understand their legal needs and concerns.
Case Screening: Evaluating the viability of potential cases by assessing legal merit, potential for success, and alignment with the firm’s practice areas.
Conflict of Interest Checks: Ensuring ethical compliance by identifying potential conflicts of interest.
Documentation and Record-Keeping: Maintaining accurate and organized records of client information, inquiries, and case details.
Scheduling and Coordination: Scheduling initial consultations with attorneys and coordinating with other departments to facilitate the onboarding process.
Client Communication: Providing clear and concise information to potential clients about the firm’s services, processes, and expectations.
Case Management: Managing and updating case information in the firm’s case management system.
Follow-Up: Ensuring prompt follow-up with potential clients to gather necessary information and keep them informed about the intake process.
Processing client payments.
Experience
An ability to communicate effectively and demonstrate empathy and patience with various individuals and personalities.
Able to work independently and as part of a team to prioritize and complete tasks in a timely manner.
Strong organizational skills and scrupulous attention to detail.
Ability to manage time, solve problems, and multi-task in a fast-paced environment.
Ability to use and learn case management software and other relevant tools.
