Job Summary:
The Front Desk Executive Assistant serves as the first point of contact for all visitors, clients, and phone calls while providing comprehensive administrative support to the executive team. This role combines receptionist duties with high-level executive assistance, ensuring smooth daily operations and effective communication within the office.
Key Responsibilities:
Reception Duties:
Greet and assist visitors, clients, and employees in a professional and welcoming manner.
Answer and direct phone calls, take messages, and provide general information.
Respond to student requests for information, room reservations and prop reservations.
Manage the front desk area, maintaining a clean and organized environment.
Handle incoming and outgoing mail, packages, and deliveries.
Administrative Support:
Provide executive-level administrative support to senior leadership, including preparing and editing documents, presentations, and reports as requested by executives.
Serve as primary contact for Three of Us Studios Room Rentals scheduling all room reservations, ensure all guest needs are arranged, and staff coverage is in place.
Manage Three of Us Studios Masterclass scheduling including coordination with faculty, social media coordinator for publicity, and operations for room scheduling and staff coordination.
Assist Director of Information Technology with data entry for student records management.
Schedule all student auditions and manage process for assigning faculty and coordinating with Admissions Advisors.
Communication and Coordination:
Act as a liaison between the executive team and other staff, clients, or external vendors.
Assist with communication flow by relaying important information and responding to inquiries.
Manage the admissions event calendar and ensure events are covered by staff and faculty, materials are shipped for events in a timely manner, and all post lead generations are entered into Slate.
Event Coordination:
Assist with organizing and coordinating events, meetings, and conferences, including logistics, catering, and equipment.
Help with the planning and execution of company events or client meetings.
Qualifications:
Proven experience as a receptionist, executive assistant, or in a similar administrative role.
Excellent communication skills, both verbal and written.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Professional appearance and demeanor, with a focus on providing exceptional customer service.
Ability to handle sensitive and confidential information with discretion.
Strong attention to detail and problem-solving skills.
Preferred Qualifications:
Previous experience in a corporate or executive office environment.
Knowledge of office management and administrative procedures.
Ability to multitask in a fast-paced environment.
Job Type: Full-time
Pay: $25.00 – $30.00 per hour
Expected hours: No less than 40 per week
