Position Purpose:
To provide accurate, timely, courteous service and administrative support to the Chief Investment Office and internal and external clients and constituents. Together this will help expand Investment Office productivity, as well as strengthen the implementation of the Office’s mission and key goals.
Primary Function:
Provide administrative support to the Chief Investment Officer and professional staff by helping to formulate action plans to execute existing strategies and priorities. Perform delegated responsibilities with appropriate independence and discretion. Continuously examine administrative effectiveness and seek improved procedures.
I. Essential Duties and Responsibilities
A. Provide day-to-day management and maintenance of the Investment
Office
B. Help maintain focus on highest priority objectives
C. Establish or refine systematic methods for attainment of Investment
Office goals
D. Demonstrate strong interpersonal skills and build relationships based on
dependability and honesty
E. Manage day-to-day operations details (e.g. capital calls, document
retention, audit-related procedures) and communications with the SCU Treasurer’s Office, bank custodian and investment managers
F. Assist Chief Investment Officer with non-SCU Boards, Investment
Committees and projects, as needed
II. Specific Responsibilities
A. Provide general office support to the Chief Investment Officer and
professional staff, requiring knowledge of department requirements and university policies and procedures
B. Great public and refer them to appropriate staff members, answer phone,
route calls, and take messages
C. May be responsible for arranging length complex meetings or events
involving a number of participants from outside the university. Arragne routine travel, schedules and parking
D. Prepare and manage correspondence, reports and documents
E. Maintain Investment Office filing systems, mailing lists and staff
involvement database
F. Assist with completion of necessary reports
G. Agenda management: coordinate travel, meeting and lodging
accommodations for staff
H. Develop and maintain good working relationships with all relevant
boards, agencies and authorities
I. Hire, train and supervise student assistants
J. Assist with special projects for the Investment Office Staff
III. Qualifications
1. Bachelor’s degree preferred
2. Minimum 3 years of relevant experience in administrative support role.
3. Significant prior Administrative Associate experience
4. Comfortable with the Jesuit educational mission
5. Good working knowledge of Microsoft Word, Excel, and Access; PeopleSoft financial management software; and ability and willingness to learn new computer applications
6. Show initiative in resolving issues and solving problems
7. Ability to exercise judgment and maintain confidentiality on a wide spectrum of topics and issues for which discretion is required
8. Presents polished, professional demeanor in working with staff, internal and
external stakeholders, as well as Investment office staff
9. Ability to multi-task in a fast paced environment, calmly and confidently 9. High energy and demonstrated ability to work independently and in a team
environment
10. Ability to work non-traditional hours
11. Highly organized, attention to detail, multitask and communicate effectively
