THE EL SEGUNDO CHILDREN’S RESIDENTIAL PROGRAM OFFICE IS RECRUITING FOR A PERMANENT, FULL-TIME OFFICE SERVICES SUPERVISOR II (OSM II). THIS POSITION WILL BE LOCATED IN EL SEGUNDO, CA.
The Office Services Supervisor II (OSS II) is responsible for the supervision of five or more clerical staff and performs a variety of the most complex and sensitive duties under the general direction of the Regional Manager. The OSS II assigns, directs, and coordinates the handling of clerical activities such as phone coverage, mail handling, establishing files, and filing and typing. The OSS II is expected to consistently exercise a high degree of initiative, independence of action, originality, and good judgment in supervising staff and managing clerical support functions.

This position requires sensitive public contact and/or independent origination of correspondence involving the knowledge and application of detailed regulations, policies, and procedures. The ability to communicate effectively is of primary importance.

The Office Services Supervisor II (OSS II) is directly supervised by the Regional Manager. The OSS II routinely collaborates on assignments of clerical responsibility and clerical with the manager as it directly affects all office practices. The OSS II with the consent of the Regional Manager assigns clerical responsibility to members of the unit.

The Office Services Supervisor II (OSS II) is responsible for ensuring clerical activities are completed in a timely manner such as fire clearance and preparing legal documents such as Statement of Facts. The OSS II must be able to objectively handle complex licensing, policy, personnel, and budgetary issues. The OSS II should be able to handle stress, equitably delegate responsibility and balance office needs. They also must exercise sound judgment, extreme confidentiality, open-mindedness, flexibility and demonstrate an ability to act independently.

The OSS II may receive calls from licensees and the public on routine office activities such as office orientation. Failure to handle these tasks promptly could cause delays in licensing facilities, the closure of facilities, and action against facility staff which would result in poor care and risk to clients in facilities.

Failing to take appropriate and timely action regarding routine office activities, legal issues, IDT, consultant use, thorough analysis of various documentation, etc., could result in adverse fiscal and policy consequences within the Program. Poor judgment may result in the Program not being able to meet objectives and the loss of valuable
resources. These failures could result in leaving vulnerable clients at risk.

2. Statement of Qualifications (SOQ) – Applicants must submit an SOQ for this position. The SOQ should be no longer than two pages, single spaced and in 12-point font.

4. Fingerprint Clearance – Subject to fingerprinting and criminal record clearance by the Department of Justice and Federal Bureau of Investigation.

5. Training and Development – Assignments may be considered based on the availability of eligible candidates and are subject to approval by the Hiring Authority prior to appointment. Training and Development assignments are considered limited term, 12 months, and maybe extended up to 24 months or become permanent.

This position is designated under the Conflict of Interest Code.
