Education Administrative Assistant
Salary Range: $41,600 – $50,668.80
Department: Operations
Location: Fresno Headquarters (In-Person)
Reports to: Clinical Education & Training Coordinator
Position Summary
The Administrative Assistant plays a key role in supporting certification and training classes. This position ensures smooth program operations, maintains compliance with training standards, and provides instructional support as needed. Responsibilities include coordinating class logistics, assisting students throughout their certification process, and fostering effective communication between departments. Additionally, this role supports community outreach efforts, manages training resources, and upholds program integrity to enhance student success and organizational effectiveness.
Essential Job Functions:
Communication & Coordination
Responds to inquiries (email, voicemail, in-person) regarding Training and AHA certification classes.
Schedules instructors and maintains class schedules.
Facilitates communication between Operations & HR regarding training effectiveness.
Instruction & Student Support
Act as a BCLS Instructor when needed.
Conducts student follow-ups on absences, missed shifts, and exam retakes.
Supports students through course completion, NREMT certification, and CCEMSA licensure.
Class & Event Management
Organizes and attends EMT class orientations.
Represents the organization at job fairs.
Coordinates and participates in community outreach and Hands-only CPR events.
Compliance & Documentation
Monitors AHA certification classes for compliance and instructor/site standards.
Maintains class rosters, certification distribution, and invoices for AHA training sites.
Keeps website and social media updated for class recruitment and promotion.
Equipment & Supply Management
Maintains, inventories, and restocks training supplies and equipment.
Secondary Job Functions:
Ensures accuracy and completeness of all records and paperwork.
Follows and enforces safety protocols.
Represents the company professionally at all times.
Attends required meetings.
Adheres to company policies and HR procedures.
Promotes a positive and respectful work environment.
Properly uses and returns company equipment when employment ends or upon request.

Minimum Qualifications
This position must also meet all minimum qualifications as described in the EMT job description.
High School diploma or GED (AA or other college coursework preferred)
Exceptional communication and organizational skills
EMT (preferred)
BCLS Instructor certification (preferred)
Previous administrative support experience (preferred)
Excellent computer and typing skills
Financial Authority

May request equipment maintenance/repairs through department director.

This job operates in an office environment. This position routinely uses standard office equipment such as computers, phones, copiers, and fax machines.

Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are expected to be normal business hours (8 am to 5 pm). One-hour lunch; 2, 15-minute breaks/day. Occasional weekend and/or evening work may be required.

There may be occasional travel for conferences, seminars, and training.
