Job Title: Radiology Administrative Assistant

Location: Remote (Flexible, preference for Central or Mountain Time)

Schedule: Monday–Friday with flexible hours; brief Sunday AM check-in preferred

Reports to: Lead Veterinarian / Altano COO

FLSA Status: Non-exempt

Summary

Responsible for supporting the daily operations of the equine radiology department through the coordination and implementation of administrative systems, processes, and procedures. This role involves managing scheduling, communications, and documentation to ensure smooth workflow and high-quality client service. Must be able to multi-task in a fast-paced environment and interact professionally with veterinarians, technical staff, clients, and referring practices while handling various administrative facets of the radiology practice.

Essential Duties and Responsibilitiesinclude the following. Other duties may be assigned.

Client Management

· Assist new clients with setup and usage of Purview, supported by Purview IT.

· Support client onboarding to ensure a positive experience and manage expectations.

· Help repeat clients upload images and apply appropriate upload fees.

· Direct equipment-related inquiries to appropriate contacts.

· Occasionally follow up with clients regarding missing or urgent uploads.

· Add client data to Constant Contact and QuickBooks databases.

Worklist Management (Purview)

· Monitor the worklist at least four times daily, ideally more, to cover various time zones.

· Assign studies to radiologists based on client preferences, radiologist availability, and workload.

· Review study notes for requests (e.g., STAT) and escalate urgent needs.

· Communicate clearly with clients and radiologists to support timely report turnaround.

· Periodically review and clean up open or incomplete study submissions.

Office Operations

· Check and respond to emails regularly (minimum 4x/day, ideally between 8 AM–6 PM MST).

· Forward or respond to inquiries appropriately and promptly.

· Assist with tech/network onboarding and integration efforts with Altano.

· Help accounting with billing or estimate-related questions.

· Provide administrative support for the Radiology Residency Program.

Essential Qualifications

· Strong business writing and oral communication skills are necessary.

· Must possess excellent organization and multitasking ability.

· Basic knowledge of imaging technology (e.g., DICOM/PACS) preferred.

Skilled in learning new digital platforms, including internal systems like Purview, QuickBooks, and Constant Contact.
Ability to independently troubleshoot and escalate issues as needed.

· College degree preferred or equivalent experience in administrative roles.

Qualifications

Education/Experience:

College degree preferred or equivalent administrative experience.

Language Ability:

Ability to read, analyze, and interpret general technical procedures. Ability to write/document technical information and general correspondence. Ability to effectively present information and respond to questions from doctors, other staff and clients.

Math Ability:

Basic ability to calculate figures and understand billing or invoicing.

Reasoning Ability:

Ability to problem-solve and manage tasks involving multiple variables and timelines.

Computer Skills:

To Intermediate proficiency with computer software, email, and cloud-based systems.

Certificates and Licenses:

No certification required

Pay: $19.00 – $21.07 per hour
