Overview:
IDC is seeking a highly motivated Legal and Executive Assistant to join our legal and marketing teams. The Assistant will report directly to the General Counsel and will provide administrative and professional support to both the General Counsel and the Chief Marketing Officer. The Assistant is responsible for managing the daily operations of the teams, coordinating meetings and travel arrangements, preparing correspondence and reports, and handling confidential and sensitive information.

This role is based out of our Needham, MA location with a hybrid work schedule to come into the office 1-2 days per month.

Responsibilities:
Provide direct executive and professional administrative support to the General Counsel and Chief Marketing Officer
Process requisitions, POs, invoices
Liaise with other departments and external vendors on administrative matters to include: collecting monthly accruals from vendors, budgets, POs, invoices, updating internal systems and procedures; submitting invoices
Docusigns for equity program and other highly confidential matters managed by the GC.
Maintaining lists of knowledge groups for confidential projects and distributing NDAs via Docusign
Calendaring / Meetings
Scheduling and coordinating meetings for the legal and marketing teams.
Managing Meeting agendas and collecting materials and agenda items from team members
Preparing and distributing meeting materials, minutes, and follow-up actions
Setting reminders and placeholders for key deadlines
Using translation tools to translate documents into English
Approving team expenses and PTO requests
Coordinating business travel: itinerary planning, booking, and managing and submitting expense reports and reimbursements
Qualifications:
Bachelor’s degree from an accredited college or university (preferred) and demonstrated knowledge of administrative procedures and systems or Associate degree or 60 semester credits from an accredited college or university
12 + years of satisfactory, full-time progressively responsible experience as an executive assistant, at least 10 of which was supporting C-Level Executives, and at least two different positions supporting C-Level Executives
Excellent verbal and written communication skills
Ability to communicate effectively and professionally with internal and external stakeholders at all levels
Strong organizational and time management skills; ability to prioritize and multitask in a fast-paced and dynamic environment; attention to detail and accuracy
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and other relevant software and systems (such as procurement, expense, travel, PTO, software); ability to learn new technologies and tools quickly
High level of discretion and confidentiality; ability to handle sensitive and confidential information with integrity and professionalism
Knowledge of legal terminology, concepts, and procedures; familiarity with legal documents and contracts; experience in a legal or corporate setting preferred
Ability to come in the Needham office 1-2 days each month.

Salary range and additional compensation, including discretionary bonuses and incentive pay, are determined by a rigorous review process. This process considers the experience, education, certifications, and skills required for the specific role, equity with similarly situated employees, as well as employer-verified US region-specific market data provided by an independent 3rd party partner. The expected total annual compensation, depending on location and experience, is between $90,000 and $110,000 and is inclusive of base salary and variable compensation (if applicable).
