Position Title: Communication Coordinator

Reports To: General Manager/Membership Services Director

Supervisory: No supervisory responsibilities

Job Detail:

A private country club is seeking a full-time professional to assist with marketing and administrative tasks. This position involves executing creative projects, including monthly newsletters, printed and online marketing materials, and web design. The Communication Coordinator manages social media platforms, including shooting and editing photography and videos. Also greets and directs telephone calls and provides administrative support for the General Manager and Membership Services Director including managing correspondence and communication. Assists management and other departments in a wide range of administrative assignments and tasks to ensure operational and administrative efficiency. Assists with the administration and communication of the Club’s By-Laws and policies as defined by its Board of Governors, and assists with ensuring maximum Member and guest satisfaction.

Position Type and Expected Hours of Work:

This is a full-time hourly position and requires a flexible schedule which may include some evenings, weekends, or holidays.

Essential Functions:

Takes messages or fields/answers all routine and non-routine questions.
Create and manage the development, distribution, and maintenance of all print and electronic collateral including, but not limited to, monthly newsletter, flyers, Club emails, social media, and the Clubs’ website.
Coordinates with department heads regarding marketing materials for upcoming functions and events.
Composes and gathers information from other departments for monthly newsletter and coordinates publications.
Strong administrative skills; typing, grammar, proofreading, copying, mail merges, data entry. Edits and prints documents as needed. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Assists General Manager, Membership Services Director and Controller in all regular communication internally and externally.
Proficiency in Microsoft Office Suites (Word/Excel/Publisher/PowerPoint/Outlook); experience with Clubessential software, Canva is a plus!
Maintains a detailed knowledge and understanding of Club By-Laws, Rules, Policies, Hours of Operation and Activities, and is able to communicate them clearly to Members.
Works independently and within a team on special nonrecurring and ongoing projects.
Provides general clerical and administrative support to other Managers as directed.
Assist with event registration when needed.
Performs other duties as assigned.

Job Knowledge, Core Competencies, and Expectations:

Excellent oral, grammar, writing, and communication skills.
Proficient with Microsoft Word, and Excel required with Canva, Adobe and Photoshop preferred.
Must always represent the Club in a professional manner. Able to collaborate with Managers and other staff in a professional manner.
Must maintain confidentiality of sensitive information.
Must be organized, detail oriented, and able to multi-task.
Proficient with time management and project management to meet deadlines.
Independent judgment and the ability to prioritize work to be completed within timeframe set.
Must be able to deal with a diverse group of important external callers and visitors, as well as employees at all levels of the organization, including Managers and Board of Governors.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, calculators, file cabinets and scanners.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.

1. Must be able to sit for prolonged periods of time.

2. Must be able to reach, bend, stoop, stand and life up to 25 pounds.

3. Ability to file and open file cabinets.

4. Moderate noise level in the work environment.

5. Vision abilities required include close and color vision, and depth perception.

Required Education and Experience:

1. Minimum of a High School diploma required.

Preferred Education and Experience:

Associates Degree.
Hospitality experience.
Two years of administrative assistant experience.

Language Skills:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of members or employees.

Compensation

Salary Range: $24/hr + eligible for an Annual Holiday Bonus
