Position Summary:
The Administrative Assistant will facilitate the implementation of the Member Development team vision through event logistics support and general administrative duties. He/she will provide day-to-day support for the Member Development team and logistical support for special events. He/she will also collaborate with other office teams to ensure coordination of services for the team.
Location Requirements: This position is required to work on-site at the Orlando office 5 days a week.

excellent skills in administrative practices and procedures

excellent word processing, spreadsheet management and software skills (Microsoft Outlook, PowerPoint, etc.)
highly organized
Personable and professional verbal presence i.e. on telephone, in-person, etc.
Experience in event coordination preferred.
Responsibilities:
Provide event logistics support for on-site retreats for returning missionaries multiple times each year under the direction of the lead event coordinator (including but not limited to registration, lodging, food services, facilities, scheduling, communications, printing, setup, cleanup, supply inventory management).
Assist with event logistics for other team events (on-site and otherwise), under direction of lead event coordinator.
Provide support for debriefs: including but not limited to reserving meeting rooms, coordinating meal orders and pickup, communicating with consultants, facilities staff, receptionist, and missionaries.
Build positive relationships with other office teams and coordinate communications and delivery of services.
Maintain a clean and organized team space including team kitchen and common spaces.
Provide administrative support to the Senior Director as needed.
Provide administrative support to Member Development team:
take and distribute timely and clear meeting notes and assist with communication needs
maintain office supply inventory (tracking inventory, ordering books and other supplies)
maintain team calendar and distribution lists
organize and maintain team files
setup recurring team meetings (hybrid)
maintain emergency call list
handle phone and email inquiries and route to appropriate staff
facilitate team communications
Physical Demands:
Environment: Work is performed primarily in a standard office environment with extensive public contact and frequent interruptions.
Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.
Vision: See in the normal visual range with or without correction.
Hearing: Hear in the normal audio range with or without correction.
