Job Description:

Blizzard is looking for a pro-active, motivated, and highly organized professional to function as a Administrative Assistant to the Hearthstone team. This position requires a critical thinker with an eye for detail and the ability to work in a dynamic, fast-paced environment. The ideal candidate will be ready to provide service at a moment’s notice, stay cool under pressure and can handle multiple projects fluidly. Relationship building and schedule management will be a priority and excellent communication skills is a requirement. The chosen candidate will join our team of highly skilled Admins with a targeted career path within the Administrative department.

Your Responsibilities:

Priorities can often change in a fast-paced environment like ours, so this role includes, but is not limited to, the following accountabilities:

Drive multiple ongoing cultural activities.

Handle multiple complex calendars and balance appropriately.

Plan meetings and conference calls, including calls across multiple time zones around the globe.

Coordinate travel for conventions and events, including visa and passport paperwork.

Assist in the development of presentational materials using PowerPoint and other tools.

Plan and implement team events, gifts, and other exciting team perks for 100+ staff.

Maintain team discretionary spending budget and coordinate its allotments with management.

Prepare written communications to internal and external contacts with an emphasis on context and confidentiality

Regularly prepare and distribute communications to the entire team on various topics

Work with outside vendors to facilitate legal contracting, payments, and other vital paperwork.

Preside over new-hire welcome packets by maintaining inventory and facilitating outgoing shipments.

Pick up supplies and / or deliveries from shipping department, vendors, or stores, and deliver / set up at events, meetings, and team areas.

Supervise meeting room calendars via Outlook and coordinate requests for their use from other departments.

General office duties, including reconciling expense reports, ordering catering, correspondence, filing, etc.

Plan and carry office moves, from small to large groups.

Perform regular walkthroughs of the team space to ensure our facilities are in good order and any needed maintenance issues are resolved.

Handle other duties as needed.

Player Profile

Experience

2+ years demonstrated ability in an administrative or executive assistant role.

Strong proficiency in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook.

Excellent written and verbal communication skills.

Impeccable organizational and time-management abilities.
