Administrative Assistant – HNL Jobs in Honolulu, HI at Worldwide Flight Services

We are seeking a highly organized and proactive Executive and Personal Assistant to provide comprehensive administrative support to our CEO. The ideal candidate will be adept at handling a wide range of administrative and executive support tasks, possess strong communication skills, and demonstrate the ability to maintain confidentiality and professionalism in all interactions.

Responsibilities:

Executive Support

Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize materials for meetings, including agendas, presentations, and reports.
Act as a liaison between the CEO and internal/external stakeholders, responding to inquiries and requests on their behalf.
Assist in the coordination of company events, and other special projects.
Liason with property managers of buildings including managing budgets.
Conduct research and compile information as needed for various projects and initiatives.

Personal Support:

Provide personal assistance to the CEO as needed, including managing personal appointments, reservations, and errands.
Handle confidential personal matters with discretion and professionalism.
Manage household tasks and vendors, such as coordinating repairs and maintenance, organizing household schedules, and managing household budgets.
Assist with personal travel arrangements, including booking flights, accommodations, and transportation.

Administrative Support:

Maintain and organize electronic and paper files, ensuring accuracy and accessibility.
Screen and prioritize incoming emails, calls, and correspondence for the CEO.
Prepare and review documents, letters, and presentations for accuracy and completeness.
Manage expenses and reconcile credit card statements for both professional and personal accounts.

Qualifications:

Bachelor’s degree preferred, or equivalent combination of education and experience.
Proven experience as an executive assistant or personal assistant, preferably supporting C-suite executives.
Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
Strong attention to detail and accuracy in all work.
Exceptional communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software including Quickbooks.
Discretion and confidentiality in handling sensitive information.
Flexibility and adaptability to changing priorities and schedules.
Ability to work independently with minimal supervision, while also functioning effectively as part of a team.

Job Type: Full-time

Pay: $23.00 – $35.00 per hour

Expected hours: 20 – 40 per week
