Position Summary and Primary Duties
The Finance and Administrative Assistant supports the financial and administrative operations of the organization. This role is responsible for maintaining accurate financial records, processing transactions, and assisting with general administrative duties.
Essential Duties
The following are the duties and responsibilities associated with the position. Reasonable accommodation will be provided, as needed.
Finance Support
Accounts Payable, including tracking, paying, coding, reconciling, and filing of expenses for the organization and various client services.
Accounts Receivable, including coding, filing, reconciling, and deposits of revenue for the organization.
Assist in maintaining accurate financial records and preparing reports.
Assist with fair value for in-kind donations.
Support annual audit preparation, including organizing documentation and assisting with auditor requests.
Note: Up to 5 additional hours per week may be required during the audit periods, typically lasting a few weeks.
Administrative Support
Credit card, gas card, and buss pass issuance and tracking.
Provide on-call coverage in accordance with on-call guidelines when scheduled (e.g. HEART calendar).
Assist with meeting room setup and breakdown, including cleaning and coordinating meal orders for groups and events.
Provide general office support, including filing, mailing, and data entry.
Other administrative duties as assigned by CEO and/or Director of Operations.
Backup support for the Hotline.
Minimum Qualifications
Minimum of 2 years’ experience with AP, AR, or other financial operations.
Associate’s degree or equivalent experience in finance, accounting, or business administration.
Previous experience working in a non-profit organization preferred.
Ability to organize and prioritize with little supervision.
Excellent organizational, time-management, and multitasking skills.
Proficiency in Microsoft Office required.
QuickBooks experience preferred.
Some knowledge of grant requirements preferred.
Physical Requirements/Environmental Conditions

Remain calm under stress and have the emotional and physical stamina to deal with a variety of stressful situations.
Frequently sit, stand, bend, kneel, and walk.
Frequently lift and carry items up to 40 pounds.
Occasionally climb stairs or inclined surfaces.
Occasionally work outside during night hours and/or inclement weather.
