Administrative Assistant (Hybrid) – Financial Firm, Pompano Beach – $70k – $85k + B
A financial firm in Pompano Beach is seeking an Administrative Administrator to support the firm’s daily operations. This dynamic role involves assisting with various aspects of office services, executive support, and special projects. The ideal candidate is highly organized, process-driven, and proactive in maintaining structured workflows. This role will focus on scheduling, document management, expense processing, and internal systems support while being adaptable and willing to take on tasks of any size.
This is a new role within the organization, offering an opportunity to shape processes and contribute to the efficient functioning of a growing organization.
This position offers quality of life hours (9a-5p-ish) and the flexibility to work from home on Fridays.
Responsibilities:
Schedule meetings, manage internal calendars, and coordinate follow-ups to ensure efficient communication.
Respond to emails and inquiries in a timely manner while assisting in tracking and managing essential office communications.
Process expense reports, assist with AP invoice coding, and maintain financial documentation for accuracy and compliance.
Organize and maintain digital and physical filing systems, serving as the gatekeeper of the filing server while ensuring structured document storage, scanning, and retrieval.
Provide basic device troubleshooting and IT support as needed to maintain seamless office operations.
Identify inefficiencies in office processes, suggest improvements, and help refine internal administrative controls.
Support and track office projects, ensuring deadlines are met and structured processes are implemented to align with organizational goals.
Qualifications:
3+ years of administrative experience supporting the day to day operations of an office and exposure to supporting executives.
Comfortable working independently in a smaller office environment
Confident communicator who can professionally engage with executives, guests and internal team members.
Strong proficiency in office software (Microsoft Office Suite, email platforms, and calendar tools).
Familiarity with managing sensitive information and maintaining confidentiality.
Experience in a family office environment or with philanthropic organizations is a plus.
Bachelor’s degree preferred but not required; equivalent professional experience will be considered
Base Salary: $70k- $85k plus bonus, 401k (with match) and additional benefits/perks.
