Description
SUMMARY:
To ensure district compliance regarding transportation and enrollment of students within the district. This is a position that requires a process oriented person with a customer service mindset who demonstrates solution based thinking with strong communication skills.
DUTIES AND RESPONSIBILITIES:
The following are examples of duties and responsibilities but are not limited to such activities and may change at any time with or without notice.
Serves as the liaison between the transportation company representatives, families, enrollment coordinator and staff throughout the district concerning transportation and enrollment related issues and problems
Partners with the bus company to monitor and assess the number of bus routes and ridership of the routes
Partners with private schools to facilitate transportation scheduling and communication
Works collaboratively with the business office to process parent transportation contracts, pay-to-ride invoicing and other payments with the transportation and enrollment office
Serves as a liaison between the bus company and schools
Supports communication efforts in emergency situations with the use of student information system (Infinite Campus) and social media, etc
Supports families both in person and over the phone with the online enrollment process
Answers/responds to phone calls and emails
Supports data entering and gathering from student information portal pertaining to transportation and enrollment
Works with building staff, parents or care providers, Special Education Department staff, Health Services staff, if necessary, and contractors to accommodate special needs of students, including medically fragile students, EL, and homeless students
Supports families during enrollment process
Enters and maintains enrollment data for private/parochial schools in the surrounding area for transportation purposes
Strives for the advancement of the use of technology (Google Docs) to increase efficiency in the delivery of services of student transportation and enrollment
Bus safety liason
Performs additional duties pertaining to enrollment/transportation as necessary in collaboration with the Enrollment Coordinator, Bilingual/ESL Program Enrollment and Communication Specialist, and the Assistant Superintendent of Student Services
Completes other duties as assigned
Regular attendance is an essential function of this position.
Qualifications
To perform this job successfully, an individual must be able to perform each duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required at the time of hire or for the continuation of employment.
EDUCATION AND/OR EXPERIENCE:
Two years post-secondary education or a minimum one year administrative assistant experience preferred.
Knowledge of Infinite Campus preferred.
Successful experience in equivalent position(s).
Working knowledge of school district and central office functions preferred.
KNOWLEDGE, SKILLS AND ABILITIES:
Proficiency in Google and Microsoft Office Applications including word processing, data base, Excel spreadsheet, and PowerPoint and school-centered software (relational database) applications.
Strong customer service orientation.
Effective written and verbal communication skills.
Ability to understand and follow oral and written instructions.
Strong interpersonal skills with ability to empathize and find common ground for the good of the organization.
Evidence of outstanding organizational abilities.
Working knowledge of bookkeeping and accounting procedures.
Accurate keyboarding skills of 50 WPM and proofreading skills.
Ability to input data accurately and rapidly.
Personal qualities that include punctuality, confidentiality, self-initiative & independent work abilities.
Ability to work as a successful team member with co-workers.
Must have a history of confidentiality, stability, neatness, punctuality, loyalty, ethical consciousness, organization skills, and flexibility.
LANGUAGE SKILLS:
Ability to read, analyze, and interpret documents, federal, state, and/or DPI regulations, handbooks, computer and other manuals, budget reports and statistical data.
Ability to write reports, business correspondence and procedure manuals.
Ability to interpret and communicate reports, procedures, and computer applications to faculty, staff, and students.
Ability to communicate effectively in both oral and written form.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Ability to statistically manipulate numbers; make advanced mathematical calculations; check for accuracy.
REASONING ABILITY:
Ability to define problems, collect data, and draw valid conclusions.
Ability to exercise good judgment and effectively solve problems.
Ability to interpret an extensive variety of technical instructions with several abstract and concrete variables.

Must be able to remain in a stationary position for long periods of time
Occasionally required to move about inside the office to access file cabinets, office machinery, etc.

While performing the duties of this job, the employee is regularly required to sit, talk, and hear.
The employee may occasionally lift and/or move up to 25 pounds.
Specific vision abilities required by this job include close, peripheral vision and the ability to adjust focus.
This job is performed in an office environment.
