SUMMARY:
Responsible for providing administrative support to the Department of Special Education Services. Duties include but are not limited to composing, typing, and editing correspondence; answering and screening phone calls; acting as a liaison between the Director of Special Education and the public; managing projects/processes; developing reports; managing budget expenses including major federal grant; maintaining files and databases; making conference and professional staff development arrangements, and assisting with developing the annual budget.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Attend webinars and other professional development provided by the District, Colorado Department of Education (specifically the Exceptional Student Services Unit Department and Department of Special Education), and the Medicaid Consortium to accurately complete the required District, state, and federal reports and paperwork as defined by state and federal timelines, rules, and regulations.
Organize and schedule interviews, CDE meetings, and professional staff development for the Integrated Services Department.
Scheduling interpreters and coordinate their schedules with all special education staff as needed.
Maintain data base of students attending state approved facilities and track excess cost payments and contracts.
Maintain all special education supplies and material, technology, and protocol inventory.
Performs all other usual office functions and responsibilities associated with a productive efficiently organized office.
Performs any other duties assigned by the Executive Director of Integrated Services or Director of Special Education.
Other duties may be assigned.
Provide administrative assistance and support to the Integrated Services, Special Populations Administrative team, including prioritizing incoming information and serving as a clearinghouse for correspondence; composing, typing, and editing correspondence; and answering and screening phone calls.
Act as a liaison between the Executive Director of Integrated Services/Director of Special Education and others by responding to, advising, and directing public and staff regarding policies, procedures, and confidential and/or sensitive issues. Anticipate problems and conflicts and help develop productive solutions. Works closely with Directors and support staff for District Operations, Human Resources, Learning Services, and Finance. Liaisons with School Directors and District Special Education Personnel.
Fulfil all responsibilities and requirements for the School Medicaid Program on behalf of the School District.
Requires cross training in grant applications and procedures, budgeting, finance, payroll, and personnel. Duties extend across several District areas on a routine basis.
Manage and monitor department, unit, program, processes, and/or projects to include scheduling and support of new teacher orientation to special service providers; professional staff development activities for all special education staff; preparation, organization and maintenance of project documents such as generation of contractors and staff performance agreements.
Verify Integrated Services budget expenses, make budget transfers, maintain accounting/bookkeeping records, and/or process purchase order and check requests.
Maintain department files and databases, including confidential personnel and financial files. Work closely with accountants and finance personnel as needed.
Complete and maintain paperwork for human resources including completion of personnel action forms, job postings, Frontline, performance agreements and contracts.
Manage large federal grants, special education budgets, federal programs, and Medicaid; complete all required paperwork, procedures, and state reports on time and in accordance with deadlines.
Communicate with accountants and other finance personnel as needed to manage the budget.
Use computerized finance system to create purchase orders, maintain budgets, bank purchasing cards, petty cash, creating budgets, completing mileage claims
EDUCATION AND RELATED WORK EXPERIENCE:
High school diploma or equivalent.
5 or more years of experience supporting special education administration and/or department, or successful experience as Administrative Assistant.
SKILLS, KNOWLEDGE, & EQUIPMENT:
May require one or more of the following skills: basic English, grammar, spelling, writing, word processing, keyboarding, basic microcomputer skills, communication, and/or foreign language. May require operating knowledge of audiometer, vision screeners, charts, scales, blood pressure cuffs, and stethoscope, or word processing, database, and spreadsheet computer software, MS-DOS and Windows operating systems, and networks. Operating knowledge of general office equipment preferred.

PHYSICAL DEMANDS:
While performing the duties of this job, the employee may be frequently required to talk or hear; stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; and/or stoop, kneel, crouch, or crawl. The employee may be required to lift/carry up to 50 pounds without assistance, and push/pull 200 pounds while assisting students in wheelchairs. Specific vision abilities required by this job include close vision and ability to adjust focus.

The noise level in the work environment is usually moderate.

While performing the duties of this job, the employee is regularly required to communicate, use interpersonal skills, instruct, and analyze. May be frequently required to compare, copy, coordinate, compute, evaluate, and compile.
