True North Clinical Services is a female clinician-owned agency founded in 2015, specializing in providing in-home therapy services to youth (ages 2-21) and their families across multiple counties in New Jersey, including Burlington, Essex, Hudson, Monmouth, Middlesex, Ocean, and Union. We are an established provider in the NJ Children’s System of Care (CSOC) and are committed to delivering high-quality care that empowers youth and families.
We are seeking a dedicated and organized Administrative Assistant to join our team and support our day-to-day operations. ***This position will largely be remote. The candidate must be located in New Jersey, have a private, quiet location with reliable internet and strong cellular service to work from.***
Position Overview:
The Administrative Assistant will be an integral part of our team, ensuring the smooth and efficient operation of the agency. This role is ideal for someone with exceptional organizational skills and a strong ability to manage multiple responsibilities. The position involves providing administrative support to the Executive Director and clinical staff.
Typical schedule: Weekdays, 2-3 days a week, (typically 9a-2p, Tues, Wed)
Hourly pay: $20-$25/hr
Key Responsibilities:
Coordination of all processes involved in hiring, from the advertisement of job openings and scrutiny of resumes to the recruitment and onboarding of recruits
Maintain online job postings, screen candidates and conduct job interviews
Manage onboarding and training of all new employees
Maintain a database of employee documents, certificates and licenses
Manage phone calls, emails, and correspondence for the office
Ensures that staff is oriented to and operates according to established agency and program procedures
Knowledge of HIPAA regulations and experience handling sensitive client information securely.
Handle incoming staffing requests
Maintain up to date staff availability
Assist providers with any needs related to authorizations and assignments
Ensure all authorizations are current and correct
Submission of claims and Medicaid coverage verifications
Processing and auditing of billing submissions
Auditing of documentation submitted by providers
Foster and sustain relationships with external stakeholders, including mobile response workers and Care Management organizations
Attend staff meetings and provider council meetings
Ensure compliance with all contractual regulations with county, state and all electronic systems
Act as a liaison to programs, agencies and systems
Perform continuous quality improvement by conducting evaluations and making changes as needed
Assist Executive Director with any other duties as assigned
Skills:
Strong written and verbal communication abilities for producing correspondence and handling phone calls
Excellent organizational skills to maintain up-to-date records and schedules
High attention to detail for accurate data entry and record-keeping
Ability to build and maintain professional relationships with stakeholders
Strong problem-solving skills to address and resolve issues promptly
Proficiency with data management systems, Resource Net, Cyber, and other relevant software preferred
Effective time management skills to handle multiple tasks efficiently
Ability to work collaboratively with team members
Flexibility to adapt to changing priorities and work in a fast-paced environment
Experience with Children’s System of Care (CSOC) or PerformCare preferred
Self-motivated with little to no supervision
Ability to multi-task and work in a cross functional environment
Qualifications:
High school diploma or equivalent required; Associates Degree or higher preferred.
Proven experience in an administrative or office support role, preferably in a healthcare or clinical setting
Strong organizational skills with the ability to manage multiple tasks simultaneously
Proficiency in Microsoft Office Suite (Word, Excel)
Excellent communication skills, both written and verbal
Ability to maintain confidentiality and handle sensitive information
Attention to detail and a high degree of accuracy in all work
Ability to work independently and as part of a team
Prior experience with mental health or healthcare administration is a plus
