Administrative Assistant I, Advising & Retention Services Jobs in Lynn, MA at North Shore Community College
The Office Assistant will provide administrative support to the CD leadership team, supporting the VP/General Manager and other VPs across the organization. They are also responsible for answering and routing all incoming telephone calls for all three branches. The person in this position is the first person to greet visitors, determine the visitor’s nature of business and direct the visitor to the proper destination at the CDTX location. This person also provides clerical support as time allows based on executive team direction.
Connected Development is a part of Exponential Technology Group (XTG). XTG is part of the TTI Family of Companies and is a specialist in the electronic component distribution and design engineering services industries. This position will be onsite in Richardson, TX.
ACCOUNTABILITIES
Promptly answers telephone and directs the caller by using the switchboard to forward the call to the appropriate associate in a friendly manner resulting in a pleasant, efficient experience for the caller.
Greet welcome and direct visitors to the appropriate Company Representative by speaking to and inquiring with the visitor with relevant questions pertaining to the visit which ensures that the visitor is receiving the highest customer service.
Take accurate messages and deliver to the appropriate person promptly either by utilizing email correspondence or a paper record to track the details of the call ensuring precise communication.
Disperse incoming interoffice and postal mail for employees daily by receiving and sorting the correspondence and delivering to the correct person efficiently and effectively.
Organize outgoing postal mail for daily pick-up, and weekly corporate interoffice mail by sorting and packaging for the appropriate carrier resulting in efficient correspondence time.
Coordinate and organize office supplies by being the point of contact for ordering, receiving, stocking and distributing, which helps to manage cost for these items.
Complete other related clerical duties such as order entry, copying, collating, faxing, and filing which assist Management to be organized and run an efficient business.
Maintain a clean and tidy reception/front desk area and ensures visitors first impression of the Company is excellent.
Maintain order and cleanliness in kitchen/breakroom and conference rooms. Stocks the conference room refrigerator and snack shelf as required.
Complete errands at office supply or local store.
Enter data into CRM, and Dynamics (PO software) or similar software as required.
Assist in travel plans and creating expense reports for management.
Order food for company events, lunch-n-learns, and executives as necessary.
Other duties as required by VP/General Manager or other VPs.
EDUCATION & EXPERIENCE
High school diploma or General Education Degree (GED) required. Six (6) months to one year of related work experience preferred.
SKILLS & CERTIFICATIONS
Knowledge of the telephone system and the ability to utilize its functional ability efficiently and effectively.
Demonstrate telephone etiquette and effective oral communication skills.
Strong organizational skills and multi-tasking ability.
Knowledge of Microsoft Office applications at the basic level preferred.
Ability to type 35 words per minute preferred.
Ability to use 10-key preferred.
Possess strong interpersonal skills.
Personable demeanor.
