As our business looks to deliver its ambitious strategy of growth, we are looking for a Site Administrative Assistant to join our Operations Team for our Atlas Point location. The Site Administrative Assistant will provide administrative support to site operations, including safety programs, office management, purchasing, and employee engagement initiatives. Working closely with site management and cross-functional teams, this role will ensure that all relevant information systems are maintained and up to date.
This position requires a proactive mindset and the ability to take initiative in streamlining communication, documentation, purchasing, and administrative processes.
What You’ll Be Doing:
Administrative Support & Office Management
Assist with scheduling and coordinating meetings, preparing materials, and maintaining agendas.
Serve as a liaison between departments to ensure timely communication of key updates.
Support general administrative tasks such as data entry, record-keeping, and correspondence management.
Oversee office supplies inventory and order necessary items to maintain a well-functioning office environment.
Manage office equipment maintenance, coordinate with vendors, and ensure office facilities are well-maintained.
Safety Program Coordination
Assist in the administration of safety initiatives, including updating safety boards and documentation.
Collect, consolidate, and distribute site safety data to relevant stakeholders.
Coordinate with vendors for safety-related meetings and events, ordering necessary supplies and materials.
Maintain attendance logs and track participation in safety-related programs.
Procurement & Purchasing Support
Assist in the procurement of office supplies, safety equipment, and site-related materials.
Process purchase requests, obtain quotes, and coordinate with suppliers to ensure timely delivery.
Track and reconcile purchase orders, invoices, and expenses in collaboration with the finance team.
Maintain vendor relationships and ensure compliance with company purchasing policies.
Employee Engagement & Communications
Support internal communications by preparing and posting announcements, newsletters, and marketing materials.
Assist with employee engagement initiatives, including event planning and coordination.
Take an active role in promoting company culture and team-building activities.
Who We’re Looking For:
Required:
2-5 years of administrative experience in a fast-paced environment.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent attention to detail and organizational skills.
Ability to multitask and manage multiple priorities with minimal supervision.
Strong communication and interpersonal skills to collaborate effectively with teams.
Preferred:
Associate’s degree in Business Administration, Office Management, or a related field.
Experience in purchasing, procurement, or office management.
Experience in safety program coordination or working within an industrial or manufacturing setting.
Ability to develop creative solutions for internal communications and engagement.
