Position Title
Part Time Administrative Assistant/Accounting Clerk – Office of the Auditor
Position Summary
This position is in the Office of the Auditor. The Part Time Administrative Assistant/Accounting Clerk provides a variety of secretarial and administrative services to the department. Schedule is is flexible. Approximate hours: 24 – 28 per week.
Essential Functions of the Job
Perform a variety of general clerical duties including answering phones, providing information, word processing, maintaining files and records, and processing mail.
Prepare informal Requests for Quotations, evaluate quotes, received, select suppliers, and purchase items within established statutory bid limits.
Collects and organizes information for implementation of the bid process, including setting up files and posting and maintaining incoming bids.
Assists in preparing bid specifications.
Inputs data for bid tabulation into computer and generates summaries to assist with bid selection.
Maintain inventory of office supplies, including ordering.
Procures and maintains county contracts, rental and lease agreements, lease purchase agreements, and maintenance contracts.
Audits, codes, and approves payable invoices when necessary.
Inputs purchase orders and invoices when necessary.
Prepares monthly, quarterly, and annual invoices in accordance with budget.
Assists with maintaining fixed asset records for all county equipment as necessary.
Knowledge, Skills, and Abilities
Knowledge of and ability to use Word, Excel, Outlook, financial software and conduct Internet research
Organizational skills
Excellent oral and written communication skills
Knowledge of proper English usage, spelling, grammar and punctuation
Knowledge of office equipment, 10-key calculator, copier, fax, scanner, etc.
Ability to perform clerical duties with speed and accuracy without constant supervision
Ability to learn, interpret and apply County ordinances and resolutions
Ability to follow instructions and complete assignments
Requires the ability to deal with people beyond giving and receiving instructions.
Must be adaptable to performing under stress and when confronted with persons acting under stress.
Ability to maintain confidential information and or situations which may arise
Work Environment
Work will be performed indoors with some outdoor exposure
Physical Requirements
Ability to sit for extended periods of time
Ability to lift and carry items weighing up to 40 pounds
Ability to physically operate a motor vehicle
Must have minimal levels of eye, hand, and foot coordination
Ability to see, hear, and speak as well as color, texture, and depth perception.
Recommended Minimum Qualifications
High school diploma or G.E.D Required
Prefer some vocational, college or online certification
Two years clerical experience
Class C Texas Driver’s License
Job Type: Part-time
Pay: $15.00 – $20.00 per hour
Expected hours: No more than 29 per week
