Job Summary
The Secretary for the Curriculum Department provides administrative and clerical support to ensure the efficient operation of the department. This role supports curriculum specialists, instructional coordinators, and the Associate Superintendent and Director of Curriculum in organizing instructional resources, preparing reports, coordinating events and trainings, and maintaining accurate records related to curriculum and instruction.
Main Job Tasks and Responsibilities
Provide administrative support to the Associate Superintendent and/or Director of Curriculum and department staff
Organize and maintain electronic and physical files, including curriculum guides, instructional materials, and assessment data
Schedule meetings, workshops, and professional development sessions for instructional staff
Process paperwork and schedule meetings for student expulsions
Assist with the development and dissemination of curriculum materials to schools
Serve as a liaison between the curriculum department and school staff, vendors, and the public
Coordinate logistics for professional development events (e.g., registration, materials, location setup)
Create forms, schedule students, complete paperwork and orders for Summer School
Maintain office calendar of meetings, workshops, and assessments, organize and prepare/distribute meeting and/or workshop material and assist with Curriculum’s Office meeting planning and coordination
Edit, type, print and distribute Curriculum Resources for teachers; post on-line
Textbook Adoption- Make copies and binders for facilitators, display books for public viewing
Accounting/bookkeeping tasks including process orders, claim forms, contracts and maintain inventory of purchases/equipment
Greet public, answer and screen all phone calls, and take messages; respond to inquiries and direct as appropriate
Handle mail, correspondence, reports and other documents
Maintain and update office files
Compile mileage reports
Maintain Professional Development database and complete all related paperwork for staff
Front desk coverage, as needed
Other duties as assigned by the Director of Curriculum and Associate Superintendent
Education and Experience
High school diploma or GED required; associate degree or higher preferred.
At least 2 years of secretarial or administrative experience; experience in a public education setting preferred.
Strong organizational and time-management skills.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
Ability to prioritize multiple tasks with attention to detail and accuracy.
Excellent written and verbal communication skills.
Discretion and professionalism in handling sensitive information.
Familiarity with educational terminology and public school operations a plus.

The position requires frequent changes in sitting, standing, and walking throughout the day. The employee may also need to do frequent bending and/or kneeling. The employee must frequently speak and hear, as well as utilize the telephone and computer. The position requires lifting and carrying up to 25 pounds, such as boxes of files or office supplies, at times, for short distances. This position requires prolonged periods of computer work, including data entry and keyboarding. Manual dexterity and the ability to use office equipment, including keyboards, printers, and copiers, are essential. Good vision, with or without correction, is required for reading documents and computer screens. The ability to communicate effectively, both verbally and in writing, is also a key component of the role.
