POSITION SUMMARY

The Social & Community Services Administrative Assistant is responsible for performing assigned administrative, and clerical support duties for Senior and Middle Managers within the Social & Community Services Division, in accordance with the policies of the County and applicable legislation.

DUTIES AND RESPONSIBILITIES (not listed in order of priority)

1. Provide clerical and administrative support to senior and middle managers within the division, including processing of mail, filing and file systems, word processing, data entry and shredding. preparation of agendas, minute taking and distribution.

2. Attend and support meetings, including preparation of agendas, minutes, arranging technical equipment and refreshments as required.

4. Calendar management, including schedule, monitor and confirm appointments and meetings and prepare travel arrangements and itineraries.

5. Organize divisional events, such as training, professional development days and meetings. Assist in organizing and planning community events.

6. Liaise with all County of Simcoe Departments as required.

7. Prepare bi-weekly staff payroll, coordinate pay summaries, reconciliations and investigate discrepancies.

8. Coordinate the purchase of supplies and maintenance of office equipment used by management staff.

9. Prepare and reconcile P-card reports for approval.

10. Create purchase orders and cheque requisitions, receive invoices for payment, investigate any issues related to purchase orders.

11. Ensure confidential documentation, both electronic and paper, is secured nightly.

12. Maintain records for the Social & Community Services Division in accordance with records management policies and procedures.

13. Provide input into the development of related policies and procedures as required.

14. Participate on committees as required.

15. Provide back-up coverage and support for the Administrative Supervisor in periods of absence or to assist with workload.

16. Comply with provincial and County occupational health and safety legislation, regulations, policies and procedures.

17. Maintain confidentiality in accordance with the Municipal Freedom of Information and Protection of Privacy Act.

18. Perform other duties as assigned.

EDUCATION, TECHNICAL SKILLS AND CERTIFICATION

• Minimum one (1) year post-secondary education in office administration or equivalent to obtain a general knowledge in clerical/office functions.

• Demonstrated written and verbal proficiency in the French language; tested and assessed at an advanced level.

• Advanced word processing, spreadsheet and database application skills.

• Understanding of basic accounting principles.

• Strong interpersonal and communication skills.

• Strong organizational skills.

• Requires close attention to detail and accuracy.

EXPERIENCE

• A minimum of three (3) years of varied office experience in a similar position.

• Criminal reference check.

EFFORT

• Visual and mental effort required when preparing documents, minute taking, etc.

WORKING CONDITIONS

• Regular office environment.

• Attend meetings during and after business hours as required.
