Job Title: Administrative Assistant to Director

Supervises: NA

Primary Purpose: To assist the Director in operating the department and in creating a professional work environment.
Qualifications:

Education/Certification:

High school graduate or GED.

Special Knowledge Skills:

Excellent organization, communication, and interpersonal skills
Possess basic bookkeeping skills.
Personal qualities of tact, courtesy, dependability, and initiative.
Ability to use a personal computer and software to develop spreadsheets, databases, and word processing.

Experience:

Advanced administrative assistant experience with extensive contact with people.
Prior experience in working in a public-school district or another entity.

Major Responsibilities Experience and Duties:

Greet visitors and assist in meeting their needs
Respond in a knowledgeable manner to telephone inquiries, relay messages, make referrals record information, make telephone calls, arrange appointments, distribute mail, etc.
Maintain correspondence, communications and files for the AVID department
Type and duplicate or have printed materials, reports, AVID curriculum, letters and memos arrange and record in-district travel, out-of-district travel, leave requests and prepare reimbursement forms; prepare and maintain accurate payroll records
Prepare requisitions for budget items, maintain budget file, record expenses and keep current balance; track campus AVID budget expenditures
Maintain inventory records
Assist with annual AVID center campus data collection and verification process;
Help arrange and prepare for district staff development meetings, assist in staff development location reservation, registration, credit processing, sign in sheets, attendance records for AVID Center required training, prepare handouts, refreshments, supplies, etc.
Prepare for participants to attend AVID Summer Institute, assist with registration, travel and budget details
Assist the campus coordinators with the hiring, training and record keeping for AVID tutor staff; setup database and manage sixth grade recruitment process
Assist with end-of-year AVID celebrations;
Assist in Summer camp preparation, student recruitment, supplies, scheduling, communication, etc.
Assist campus coordinators with registration and student travel to college and community events;
Order and maintain office supplies and professional development materials and supplies
Order and maintain coordinator/classroom supplies and materials
Assume other duties and responsibilities assigned by the Director

Work with frequent interruptions; maintain emotional control under stress; Repetitive hand motions; prolonged use of computer. Occasional prolonged and irregular hours and some weekends.
