DESCRIPTION:
Nebraska Game and Parks Commission is looking for a dynamic, passionate and collaborative individual for the Administrative Specialist position at Ponca State Park. In this position you will assist the Superintendent II with oversight of the office and administrative operations for Ponca State Park as well as the Northeast Regional Superintendent with regional operations. You’ll share park information, efficiently manage campground and lodging reservations, and elevate guest experiences through sales and administrative support. JOB DUTIES:
Oversee guest services operations, permit sales, cabin and camping reservations, resale, etc.
Perform office duties including deposits, processing invoice and purchase logs, creating financial reports, record-keeping, etc.
Assist in hiring, training and overseeing park office staff, prepare work assignments, schedules, and monitor operations. Lead, supervise, and schedule seasonal staff to ensure completion of tasks and efficiency.
Creates, compiles and interprets internal and external documents, records, forms, data, and other information needed by park superintendents for decision making, administrative directives, informational summaries, budgeting and staffing.
Operates, coordinates implementation, ordering, provides periodic updates and changes in procedures related to office equipment, online POS and reservation systems, PCI compliance and other related office operation tools.
Create forms, spreadsheets, timesheets, schedules, logs, and documents related to office operations.
Maintain accurate financial records, cash handling, reports, and other procedures.
Assist the Regional Superintendent with regional administrative duties as needed
Assist with scheduling park events, lodging, facility rentals, inventory, supply ordering, etc.
Ensure compliance with regulations and policies.
Support park staff and events with other duties as assigned.

Requirements / Qualifications:
Minimum Qualifications: At least one year of post high school coursework or experience in: administration, office management, accounting, finance, planning, policy analysis and implementation, administrative/management analysis, operations research, program evaluation, research, or similar fields or in a field related to the programs or functions of the employing agency.
Other: Additional training upon employment may be assigned. A valid driver’s license is required.
KNOWLEDGE, SKILLS, & ABILITIES:
Knowledge of federal and state laws and regulations governing work assigned, office management and record keeping methods and practices, administrative report preparation practices, research and administrative survey techniques, and business computer and communication systems.
File, maintain, and retrieve records using established computer systems, handle multiple tasks, and operate computer, reservation, and POS systems.
Interact with immediate supervisors and senior managers, employees and the public to gain cooperation and to establish work relationships.
Formulate and recommend modifications to operational directives to attain agency goals.
Apply management practices, techniques, and methodologies to assigned activities.
Collect, assemble, and analyze facts and draw conclusions to recommend solutions to problems.
Train staff in park office policies and procedures.
Organize and present facts and opinions to managers and groups.
Learn the structure, functions, goals and policies of the employing agency.
Ability to be flexible with hours and work weekends and holidays.
