Job Overview
We are seeking an Executive Assistant to support our General Manager, Financial Controller and daily operations. Successful candidates should be comfortable with ever changing needs using good judgement, initiative taking and independent thinking. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. The Executive Assistant can anticipate needs and proactively initiate appropriate action to ensure the company’s priorities are met and best practices upheld. We are looking for a team player with a positive outlook.

Duties

Serve as the primary point of contact for internal requests and external managers, providing solutions and follow-up as needed.
Provide executive assistant support to the General Manager and Financial Controller as required using good judgement, independent thinking and self-motivation
Collaborate with managers and team members regarding various projects to facilitate forward progress, project tracking and coordination.
Track and follow up on action items, projects, and deadlines to ensure timely completion.
Accounts Payable entries, statement and receipt reconciliations
Execution of administrative tasks with detail focused attention
Maintain compliance programs and requirements for sub-contractors
Tracking equipment in relation to open purchase orders
Tracking and reporting key performance indicators (KPIs)
Assist company with locates; underground damage prevention (mapping skills a big plus, training provided)
Fleet management tasks; insurance, title and registrations, OS/OW permits
Support other departments as needed

Qualifications

At least 3 years of experience working in an administrative role reporting directly to upper management or applicable training and skillset
QuickBooks experience preferred but will train right candidate
Expert level at Microsoft Suite, with emphasis on high level knowledge of Excel Spreadsheets
Excellent organizational and multitasking abilities
Success working with a team environment fostering positive relationships
Ability to use resources available and adapt to ever changing environment
High level of professionalism and discretion when dealing with sensitive information.
Strong time management skills to juggle multiple tasks and prioritize work effectively.

Job Type: Full-time

Pay: $55,000.00 – $66,000.00 per year
